Duties and Responsibilities
The team assistant is located in the Private Sector Development and Finance Division (PSDFD) of the United Nations Economic Commission for Africa (ECA) in Addis Ababa. Under the general guidance and direct supervision of the Administrative Assistant of the Division, the team assistant is expected to perform the following duties and responsibilities:
1. Provide general administrative support to the staff of the Division
2. Liaise with the Knowledge Management Services Section to file the previous Division's Documentation in the record management software and archive the records as required
3. Provide administrative and logistical support to conferences and meetings of the Division
4. Liaise with Supply Chain Management Section, Property Management Unit for the return of unused equipment and furniture in the Division.
5. Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
6. Assist in preparing travel related assignments for missions.
7. Liaise with service sections within ECA (Conference Section, Travel, etc.) in support of the implementation of Divisional outputs.
8. Maintain electronic participation list at special knowledge delivery events.
9. Perform other duties as assigned.
Qualifications/special skills
Education: A High School Diploma is required. A diploma or Certificate in secretarial science/ Information Technology studies from a recognized institution is an advantage. Computer processing and office practice skills are advantageous; these may be picked up through a variety of means, such as short courses, on-the-job training, or self-study.
Experience: At least 5 years of progressively responsible experience in secretarial and office administration services is required. A good understanding and operation of basic office data entry tools and computer software is an advantage.
Languages
English and French are the official languages of the United Nations. For this position knowledge of English is required.
