Overview & Responsibilities
THE POSITION
The Department of Programmes is the central management and coordinating function for programme development, delivery and capacity development. It is responsible for the implementation of IDLO’s global program portfolio for field and non-field locations in line with organizational strategy.
Reporting to the Field Programme Manager, The Bahamas, the Programme Associate works in close collaboration with IDLO’s Offices (Headquarters and The Bahamas) and provides day to day administrative and logistical assistance to support programme implementation.
Key results expected:
1. Provide administrative support and ensure information flow between offices and support functions as well as compliance with organisational procedures, including:
- Prepare and follow through Travel and Payment Requests, Purchase Requisitions, Procurement of services in accordance with IDLO regulations and rules.
- Organize online and in person meetings and prepare meeting minutes, as necessary.
- Organize and maintain a master file of programme-related data, laws, reports, publications, framework agreements, contracts and contact for regular and easy reference.
- Support in processing contracts and amendments for Contractors/Consultants.
- Initiate the process of obtaining signatures and approval of documents, including drafting, and circulating routing slips related to ongoing processes.
- Assist in the organization of institutional and programme events/courses/external visits/presentations and coordinate with relevant support departments at HQ.
2. Carry out regular desk research on the national/regional political environment and programme related topics, including:
- Contribute to the development of new programmatic proposals.
- Provide input to concept notes, briefing notes, summary status reports, donor narrative reports, IDLO publications, communications materials and web content.
- Any other similar duties as required by the supervisor.
Job Requirements
Education and Experience
- University degree in Development, Law, Social Science or another similar field is required.
- Three (03) years of relevant experience providing support to donor funded projects/ programmes.
- Working experience with international organization is highly desired.
Language
- Full proficiency in written and spoken English is required is required.
Knowledge, Skills and Abilities
- Excellent interpersonal skills and the ability to work constructively with several internal service departments.
- Familiarity with standard programme and data management tools.
- Ability to work under pressure with tight deadlines, flexible, participatory and entrepreneurial spirit.
- Excellent written and verbal communication skills.
- Proven ability to see through tasks set and deliver results.
- Ability and willingness to travel within The Bahamas, if necessary.
- Competency with Microsoft Word, Excel, PowerPoint and other ICT and internet software.
- Keen sense of ethics, integrity, credibility, and commitment to IDLO’s mandate.
Terms & Conditions
For this locally recruited position, IDLO shall offer the selected candidate a Local Affiliate Contract for 12 months, with the possibility of extension subject to performance and availability of funding.
IDLO shall offer a competetive salary and a benefits package including medical insurance and leave entitlements in accordance with IDLO Employee Regulations and Rules.
This local position is open to candidates who are nationals of the duty station, or with permanent resident status or other legal authorization permitting them to work in the Bahamas.
