Org. Setting and Reporting
This position is located in the Budget and Project Finance Section (BPFS) of the Programme Support Management Service (PSMS) in the United Nations Trade and Development (UNCTAD).
Responsibilities
Under the supervision of the Budget and Finance Officer, the Team Assistant is responsible for the following duties: • Performs a wide range of office support and administrative functions, including assisting in the coordination of programme/project planning and preparation work for UNCTAD initiatives; monitoring status of programme/project proposals for review and approval. • Responds or drafts responses to routine correspondence and other communications, including related to budget issues and updated of periodic financial reports, briefing notes, graphic and statistical summaries or accounting spreadsheets; uses standard word and excel processing package to produce a wide variety of large, complex documents and reports. • Monitors processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant requirements. • Researches, compiles, organizes information and summarizes and enters data on project delivery. • Generates a variety of standard statistical and other reports, work orders, etc., using various databases; drafts related status and financial reports, identifying shortfalls in delivery, budget overruns, etc., and brings to the attention of management. • Responds to moderately complex information requests and inquiries and as necessary, refers inquiries to appropriate personnel for handling. • Provides administrative and logistics support to section meetings. • Maintains calendar/schedules, monitors change and communicates relevant information to appropriate staff inside and outside the immediate work unit. Performs data entry and extraction functions. • Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions. • Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing. • Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.) • Maintains files (both paper and electronic) and databases for work unit. • Assists in providing software and office equipment support. • Provides guidance to less experienced staff on general office processes and procedures, computer applications, etc. • Performs other duties as assigned.

Work Experience
A minimum of three (3) years of experience in general office support or related area is required. The minimum years of relevant experience are reduced to one (1) for candidates who possess a first-level university degree or higher. Experience in project administration, technical cooperation or related area is desirable. Experience with finance module of ERPs, such as Umoja, is desirable.
Languages
For the post advertised, fluency in oral and written English is required. Fluency in French is desirable. Knowledge of another official United Nations language is also desirable.
Assessment
Evaluation of qualified candidates may include an assessment exercise which will be followed by a competency-based interview.
