Organizational Setting
The Regional Office for Africa (RAF) is responsible for leading FAO's response to regional priorities for food security, agriculture and rural development through the identification, planning and implementation of FAO's priority activities in the region. It ensures a multidisciplinary approach to programmes, identifies priority areas of action for the Organization in the region and in collaboration with Divisions/Offices/Centres at headquarters, develops, promotes and oversees FAO's strategic response to regional priorities. RAF also advises on the incorporation of regional priorities into the Organization's Programme of Work and Budget and implements approved programmes and projects in the region, monitors the level of programme implementation and draws attention to problems and deficiencies.
RAF develops and maintains relations with region-wide institutions including the Regional Economic Integration Organizations (REIOs). The Regional Office supports regional policy dialogue on food security, agriculture and rural development issues, facilitates the emergence of regional partnerships, and supports capacity development and resource mobilization for food security, agriculture and rural development in the region.
The post is located in the Regional Office for Africa in Accra, Ghana.
Main Purpose
The Maintenance Assistant performs messenger/cleaner duties and a limited number of routine office support duties contributing to the timely and effective accomplishment of work and cleanliness at RAF.
Supervision Received/Exercised
The Maintenance Assistant reports to the Senior Administrative Officer and receives guidance from the Administrative Associate.
Working Relationships
The Maintenance Assistant interacts with colleagues from within the immediate work unit to exchange routine information and provide standard office support services.
Key Functions/Results
• Ensures the cleanliness and tidiness of sensitive offices within the RAF compound, including those occupied by high-ranking personnel such as the Assistant Director-General (ADG), Special Advisor of the ADG, Chief (Integrated Operations Support), Procurement Officer, HR Officer and Finance Officer.
• Ensures that the cleaning staff employed by the service provider are punctual and equipped with the necessary cleaning supplies for their tasks.
• Provides guidance and advice to external service providers (cleaning and gardening service).
• Arranges and ensures conference rooms in coordination with the service provider are available for staff meetings.
• Monitors and ensures availability of toiletries, water supply and pump machines.
• Ensures there is drinking water and that water dispensers are working at any given point.
• Receives and keeps update of office supplies.
• Ensures that the compound is well kept.
• Performs any other duties that may be assigned.
Impact Of Work
The Maintenance Assistant participates as part of RAF team in ensuring cleanliness, availability of hand sanitizers, water dispensers etc. are available and ensuring they are in good working conditions.
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
Education\: High school certificate.
Experience\: One year of relevant experience in office /administrative support work.
Language\: Working knowledge (proficient - level C) of English.
IT Skills\: Knowledge of the MS Office applications, Internet and office technology equipment. Ability to use photocopiers and scanners.
Residency\: General Service Staff are recruited locally. To be eligible for this position, candidates must be nationals of the country of the duty station or possess an existing visa/work permit and reside within commuting distance of the duty station at the time of the application. "Commuting distance" means the distance within which staff members can travel daily between their place of work and their residence.
