OVERVIEW OF THE FUNCTIONS OF THE POST
Overview of the functions of the post (Closing date of National Project Assistant is extended to 30 September 2024)
UNESCO Islamabad is seeking to hire a National Project Assistant (Education) to join the office in Islamabad to provide support in the administration and management of Education sector programmes and projects. Under the overall authority of the Head of UNESCO Office and the immediate supervision of the Senior National Programme Officer/Head of the Education Unit, the incumbent will work closely with the education team to ensure smooth implementation of the programme activities.
Long Description
Within this broader context, the incumbent will perform the following duties:
Programme Management and Administration
- Supporting effective management and administration/logistics of Education sector programmes and projects in the office.
- Assisting in the preparation of budgets for project activities, including generating statistics or projections for managerial use.
- Maintaining confidential and general files, establishing and managing reference systems.
- Maintaining the calendar of the Head of Education and concerned team members for scheduled meetings.
- Taking minutes of meetings and ensure accurate documentation and distribution to relevant team members and stakeholders.
- Maintaining filing of project documents and ensure all records are systematically organized and easily accessible.
Long Description
Publications and Stakeholder Liaison
- Assisting in publishing UNESCO Islamabad publications, liaising with vendors for timely printing and dissemination, and maintaining records of the publications.
- Maintaining a database of relevant public and development partners, civil society, and other stakeholders who are counterparts for the programme.
- Providing systematic responses to programme information requests and inquiries and establishing and maintaining a filing management system.
Long Description
Travel and Event Coordination
- Assisting in making travel arrangements for team members, including travel plans, security clearances, travel requests, and reservations in UNDSS-approved hotels/guest houses in consultation with the concerned team member.
- Supporting the organization of project-related meetings, events, and workshops, serving as the focal person for administrative, financial, and logistical arrangements.
- Supporting knowledge management and public information activities of Education Programmes and projects in the office.
- Carrying out any other related activity as assigned.

REQUIRED QUALIFICATIONS
Required qualifications
Education
Completed secondary, technical or vocational school education or any other similar discipline.
Work Experience
Minimum 3 years of relevant professional experience in the field of administration, logistics support or related area.
Skills and competencies
- Good interpersonal and communication skills;
- Strong service orientation and ability to deal efficiently with partners at different levels;
- Ability to analyse and interpret financial data;
- Good organizational and coordination skills, ability to take initiatives, establish priorities and monitor own work plans;
- Ability to work as part of a team, and provide efficient, quality and timely support and capacity to work efficiently under pressure;
- Sense of integrity and confidentiality; and
- Good knowledge of MS office (Word, Excel, Outlook, PowerPoint, and Teams) and database packages.
Languages
Fluency in English, Urdu and preferably in other local languages.
DESIRABLE QUALIFICATIONS
Education
University degree (Bachelors) in the field of administration, education or related disciplines
Work Experience
Relevant work experience within the United Nations System and/or International NGOs.
Skills and competencies
- Familiarity with the work and functioning of the UN System including key mechanisms such as the UN Sustainable Development Cooperation Framework (UNSDCF); and
- Good understanding of the UNESCO’s work in education.
Languages
Excellent English drafting and presentation skills and good understanding of other local languages.
