Overview

Jhpiego, a global leader in improving health care for women and families, seeks an Admin & Logistics Officer, based in Karachi and Larkana. The Admin and Logistics Officer will be responsible for implementing and maintaining an on- site financial and bookkeeping system required assuring the integrity and effective performance of the financial & logistical operations.

The Admin & Logistics Officer will be assisting Operations Manager and will be responsible for overall logistics and operations activities in the Province. S/he will be responsible mainly for providing admin support, preparing & maintaining cash controls and generating local financial report. S/he will be performing all actions and producing all documents, feedback and links that will allow the HO to achieve its project objectives and provide self-audit and monitoring capacity.

These positions will be contractual basis for 3 months.

Responsibilities

  • Supervise all activities done daily in the admin & logistics depaertment
  • Assist in activity budget preparation at the field level
  • Keep maintain a tracker for record keeping of all invoices paid to the vendors
  • Liaison with Operation teams to ensure adequate logistical arrangements for coordination and planning of program activities implementation.
  • Managing all procurement for the office as well as any procurement escalated from field bases, according to established procurement procedures and maintaining diligent filed paper and electronic records of all procurement
  • Managing and tracking all rental vehicles on the fleet, including movement planning (TAF), day-to-day allocation, verification of logbook, and the monitoring of fuel consumption
  • Maintaining up-to-date control of all assets including tracking numbers
  • Managing all program stocks maintained in the office as per established procedures. Reporting stock inventories on a regular basis and liaison with the Supervisor, to monitor and track ongoing and historical supply chain pipeline against targets
  • Providing technical support and guidance to program teams on logistical elements of distribution & procurement planning, and the setups.

Required Qualifications

  • Bachelors degree in commerce or business management
  • At least 5 years of admin and logistics experience preferably with INGOs Experience in cash-based transactions and disbursement will be preferred
  • Ability to work in challenging environment
  • Good Interpersonal and Communication skills
  • Proficient in report writing and documentation
  • Knowledge of local languages will be an added advantage
  • Ability and willingness to autonomously travel to duty site and villages when required.
  • Willingness and capacity to be flexible and accommodating when faced with difficult and frustrating working conditions like long distance walking to work/distribution sites
  • Excellent spoken and written local language/Urdu and English language skills
  • This position is exclusively available to Pakistani nationals.
  • Good computer skills  ability to write weekly and monthly reports and data analysis.
