Organizational Setting

The Department of Management (MT) provides a ‘platform of services’ that serves as a foundation for the successful delivery of the IAEA’s scientific and technical programmes. Its mission statement is as follows\: “MT is a partner and a business enabler that champions change and efficiency, leveraging a common purpose”. Thus, among other support activities, it assists a scientific manager in recruiting the right expert, helps a technical officer coordinate the purchase of radiation equipment, works with the press to help clarify the technically complex work of the IAEA, and ensures that all Board documents are translated and distributed on a timely basis to Member States.
One of the main functions assigned to the IAEA by its Statute is to foster the exchange of scientific and technical information and the dissemination of knowledge in the nuclear field among Member States. To facilitate the effective exchange and dissemination of information relevant to the IAEA’s work and mandate, the Division of Conference and Document Services coordinates and supports the implementation of these activities for its users and clients, both internal and external, by organizing meetings and conferences, issuing documents in the six official IAEA languages, i.e. Arabic, Chinese, English, French, Russian and Spanish, and editing, printing and distributing publications.
The IAEA has an extensive publishing programme, implemented by its Publishing Section, which produces a wide range of publications on nuclear related issues in both print and electronic formats. Inputs in the form of manuscripts of scientific/technical publications, advocacy items, electronic publishing requests and graphic design proposals originating from all parts of the house are handled by the Publishing Section.

Main Purpose


Reporting to the Unit Head (Production), the Associate Digital Printing Officer is responsible for coordinating and supervising the work of the Digital Printing Group and ensuring that the Print Shop has the required technology, consumables, resource and storage in place to deliver the output required from the IAEA.

Role

The Associate Digital Printing Officer is a\: (1) service provider, ensuring the timely, efficient and quality provision of the services offered by the Print Shop; (2) a driver of change- increasing the use of automation to ensure optimal workflows; (3) a problem solver- analysing and evaluating relevant information to achieve efficiencies and ensuring solutions provide maximum value for the Agency and (4) a quality control specialist- ensuring the quality of all printed matter meets the Agency’s highest quality standards.

Functions / Key Results Expected

• Analyse and plan efficient and cost-effective procedures and staffing arrangements to ensure the timely printing of documents, publications and other materials and implement efficient business management methods.
• Provide oversight and guidance to the staff of the Digital Printing Group, coordinates the work of the team to meet the Agency’s expectations for productivity, quality, continuous improvement and goal accomplishment.
• Schedule and control production activities of teams
• Manage and run printing and related equipment such as the digital presses, paper folders, paper collators, paper cutters and perfect binders
• Print purchasing / negotiation, working with local and non-local suppliers to ensure high quality, timely delivery of multiple high frequency print jobs.
• Ensure all work -in-house and outsources complies with the relevant standards.
• Oversee and plan the regular maintenance of all production equipment and relevant IT software.
• Work closely with teams to ensure end to end process for digital products run smoothly, including trouble shooting and issue resolution. Monitor and manage inventory of supplies, orders and stocks supplies, as appropriate.
• Provide estimates and final invoices for printing activities as part of the cost recovery procedure for internal and external printing.
• Perform analysis and prepare regular statistics/reports on printing and services for Senior Management
• Take the lead in the development of the requests for proposal, prepare the terms of reference, and participate in the procurement process with the view to establishing rental and maintenance contracts and/or purchase of printing equipment, supplies and services and manage all contractual arrangements and associated support services.
• Keep abreast of new tools, technologies and trends in the printing industry with the aim to review the printing workflow and suggest adjustments as required
• Ensure that requirements and operating procedures established in the Environmental Management System are applied in the Print Shop

Qualifications, Experience and Language skills

  • University degree in print production, book and media production, printing technology, digital print technologies or a related field. A combination of specialized training and four additional years of relevant experience may be considered in lieu of the university degree.
  • At least 2 years of relevant working experience in a digital printing environment.
  • Supervisory experience in a printing related operation would be an asset.
  • Specialized training in printing is an asset.
  • Excellent oral and written command of English and German. Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian and Spanish) is an asset.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at US $50377 (subject to mandatory deductions for pension contributions and health insurance), a variable post adjustment which currently amounts to US $ 30176, dependency benefits, rental subsidy, education grant, relocation and repatriation expenses; Other benefits include 6 weeks' annual leave, home leave travel, pension plan and health insurance.
