Overview of position |
|
Role objectives |
Monitor physical inventory of stocked items on a regular basis to ensure accuracy of records & location of property.
Issue Information Communication & Technology (ICT) assets & inventory as per the approved request & update the UN assets control database (UMOJA) accordingly.
Evaluate & justify equipment requests on behalf of the section & authorize the issuance of equipment, supplies & spare parts.
Prepare the scheduling of delivery of ICT equipment to users & coordinate the returns of FTS equipment to the warehouse.
Ensure the smooth operation of the unit & that all requests have been addressed.
Coordinate with the sections technical cells & Regional ICT Coordinators, to ensure adequate accountability of property.
Coordinate with all FTS units Supervisors to ensure availability of equipment, spares & supplies to fulfil the mission’s mandate.
Confirm correctness & accuracy of inventory, physical verifications, stock take & write off procedures.
Support the annual physical inventory verification exercise by checking the accuracy of records & location of property.
Recommend write off of assets & related equipment as & when necessary in a timely manner for assets beyond economical repair or past life expectancy.
Ensure mission wide usage of the assets control database to track all FTS materialized assets.
Research & retrieve statistical data from internal & external sources; prepare statistical charts, tables & reports.
Enter records in the asset control database ensuring inventory records are up to date & accurate whilst maintaining the filing system to ensure safekeeping of all materials.
Provide administrative & technical support in managing UN owned IT assets in the relevant assets control databases.
Perform other duties as assigned.
Results / expected outputs:
Ensure efficient & accurate inventory & asset control (issue vouchers, returns vouchers & hand over vouchers are updated in UMOJA in timely manner).
To effective track, monitor & timely delivery of goods, supplies, equipment & other assets.
Appropriate application of relevant policies, guidelines, procedures & processes.
Establishment of effective working relationships with internal & external contacts at all levels.

This role reports to the line manager.

Key competencies |
Minimum of 5 years of progressive experience within the United Nations (UN) or other international organizations with national or international level is required.
Solid experience in UMOJA or other ERP related to inventory management fields is desirable.
Certificates in logistics & supply chain management, warehousing & inventory control, property management. supplemental certificates in UMOJA will be asset.
Must be fluent in English & fluency in French is desirable.
