Functional Responsibilities

1. Programme Support 
  • In collaboration with the Programme Support team, coordinate logistical arrangements for field visits, travel, and events, including preparation of travel authorizations, itineraries, and travel entitlements in compliance with UNOPS policies.
  • Assist in the preparation and facilitation of external and internal meetings, ensuring that materials and necessary documentation are prepared and disseminated in a timely manner.

  • Support the organization of workshops, training sessions, and meetings by handling logistics such as venue booking, preparation of materials, and catering arrangements.

  • Provide administrative support in programme activities such as preparing operational advance for program activities, preparing cash forecast, initiating Purchase Order (PO) in the UNOPS ERP system (oneUNOPS), preparing disbursement request in the oneUNOPS.

  • Coordinate the use of external services, such as consultants and service providers, ensuring compliance with UNOPS policies, procedures, and relevant regulations.

 2. Asset and Resource Management

  • Assists in the management of the Funds’ assets and ensures proper inventory control ensuring proper transfer, disposal, change of ownership of the asset during the programme life cycle in coordination with the Support Services Unit (SSU).
  • Facilitates procurement and manages distribution of office supplies and resources across relevant LIFT teams.
  • Timely preparation and submission of periodic asset reports; support coordination of physical asset verification of the Fund.
3. Knowledge building and sharing
  • Assist in briefing project personnel on UNOPS and LIFT procedures.
  • Maintain an efficient document and information management system, ensuring that both digital and physical archives are organized and up to date.
  • Support in the preparation of project communication, documentation, reports, and contracts, checking accuracy and compliance with UNOPS formats and style as requested by the supervisor.
  • Facilitate translation of documents and assist as a translator (English/Myanmar) when required.
  • Draft routine correspondence, reports and papers related to the unit's work. 
  • Ensure reports or documents for meetings are circulated in a timely manner.
  • Actively participate in knowledge-sharing activities, exchanging information and ideas with team members and stakeholders to improve program delivery and execution.
  • Contribute to the creation and updating of program documentation, ensuring that all information is clear, accurate, and accessible to relevant stakeholders.

Education/Experience/Language requirements

Education 
  • Completion of secondary education is required.
  • A first-level university degree (Bachelor’s) preferably in Business Administration, Social Sciences, Development Studies, or a related field is an asset and may substitute for 4 years of required work experience.

Experience 

  • Minimum 6 years of progressively responsible experience in administrative or operational support to programme implementation is required.

  • Experience in working in development or humanitarian projects is highly desirable. 

  • Experience working with the UN or international organizations is highly desirable.

Language Requirements

  • Fluency in English is required.

  • Proficiency in Burmese is required
