Organizational Context
Job Purpose
Her/his key purpose is to provide support to the JRCS C/O in all aspects of the programmatic, technical, administrative support to ensure smooth running of the office and delegation projects.
This support will cover the areas of: program, such as coordinating agendas and providing translation services for the international delegates and support for the meetings, reports and other documentation; finance, such as collecting documentation for financial reports or recording data, and logistics, such as transportation of the JRCS delegates when needed.
She/he will assist the JRCS team in daily activities in the area of mentioned above and will liaise between the JRCS C/O and URCS branches etc. including online and during field visits.
Job Duties and Responsibilities
Administrative support and Interpretation
- Consecutive interpretation from Ukrainian to English and vice versa during the meetings with the URCS, JRCS, movement partners and other stakeholders; during the training, learning sessions and other events.
- Contact with stakeholders by phone, email and instant messaging, as needed.
- Support in administrative tasks.
- Coordinate accommodation and travel for field visits.
- Accompany the JRCS delegates in their trips to the field.
- Support the JRCS delegates in procurement requests.
Information management support
- Support in information and data collection (related to the project, security, and any relevant information) for reporting, coordination purposed as required.
- Support in all other relevant tasks as required
Logistical support
- Transportation of the staff on the territory of Ukraine in a safe and courteous manner, and according to IFRC vehicle policy, operating procedures, driver rules and regulations.
- Responsible for the daily cleanliness of the interior/exterior of the vehicle.
- Conform daily morning assessments of road conditions and security situations when in the field or traveling to the field.
- Inspect and record the condition of the vehicle daily; prepare a weekly maintenance checklist.
- Ensure timely servicing and maintenance of IFRC vehicles, and report to Logistics Department any mechanical
- problems.
- Ensure vehicle is insured and all legal documents are always in order; inform Logistics Department three weeks in advance of any renewals due (i.e. insurance, road license, etc.).
- Accountable for all vehicle equipment and spares. Negligent loss of equipment will result in immediate dismissal or equivalent deduction from salary.
- Ensure vehicle security and safety when parking.
- Ensure vehicle is never overloaded and only carries JRCS and movement passengers.
- Visually inspects and mutually tests the vehicle prior to departure.
- Obey all traffic rules and regulations in the Country
- Maintains vehicle logbook up to date and with all required information.
- Keep an inventory of all tools and accessories in the vehicle
Others
- Maintain high level of confidentiality at all levels of work.
- Any other reasonable tasks requested by the JRCS C/O and within the capacities and scope of the work.
- Traveling to Kyiv for the vehicle maintenance

Education
Required
- Bachelor’s degree (any discipline)
- High School Diploma
Preferred
- Relevant professional training courses (Red Cross/Red Crescent related, humanitarian and development sector, project management, etc.)
Experience
Required
- Experience with an international organisation, INGO, NGO and/or government development agency
- Experience in interpretation/translation or in using English as working languages
- Experience in managing budgets
- Must have a valid professional driver’s license categories B legal in Ukraine.
- Minimum 3 years of driving experience.
Preferred
- Volunteering or professional experience within the Red Cross / Red Crescent Movement
- A valid right to cross the border and all necessary supporting documents.
Knowledge, Skills and Languages
Required
- Good knowledge of IT skills, particularly in Excel, Word and PowerPoint. X
- Basic knowledge of cars mechanics. X
- Knowledge of traffic rules in Ukraine. X
