- Support the Project Managers in the preparation of terms of reference documents related to the project operations, MOA/MOU, work plans).
- Serve as a liaison with Support Services in managing purchase orders, contracts, and payment requests.
- Provide project status information to Project Managers to identify and manage risks and issues raised by PMs.
- Support to Project Managers (PM) in the preparation of budgets, reviews, and financial information.
- Support Project Managers in managing budgets, cash flow, and obligations to ensure deliverables are met and that UNOPS procedures and standards are followed.
- Assist in monitoring the project budget and financial expenditures, ensuring that administrative procedures are aligned with the work plan and ongoing contracts.
- When needed, provide advice and necessary support during the "formulation phase" of new initiatives, focusing on quality assurance and quality control of project documents, costs, financial implications, implementation plan, milestones, and benchmark indicators, as well as adherence to UNOPS project approval processes and procedures.
- Support the Project Manager in the execution of approved project plans (including setting milestones).
- Make substantial contributions to the development of project strategies and schedules and manage work packages.
- Support coordination and communication with internal stakeholders, including UNOPS Headquarters (HQ) and the Regional Office (LCR), and establish and maintain good relationships with headquarters staff.
- Participate in meetings with UN agencies, NGOs, and other stakeholders as necessary.
- Support the Project Manger in ensuring proper documentation of engagement with stakeholders
- Support the project Manager in monitoring and data collection of active projects
- Support the project Manager in drafting of reports
- The products and activities developed by the Project Management Support Analyst will be directly supervised by the Project Manager or any other specialist delegated by him/her.
The Project Support Analyst directly impacts on achievement of project results by supporting the Project Manager to adhere to project management methods and strategies. This consequently reinforces the visibility and image of UNOPS as an effective service provider in project services and management and strengthens its competitive position as a partner of choice in sustainable development and project services.
Education/Experience/Language requirements
Education:
- Master's degree or equivalent in a relevant discipline ( Accounting, Project Management, Procurement, Supply Chain Management, Business Administration, Management, or related field, OR.
- Bachelor's Degree is required, preferably in Business Administration, Public Administration, Procurement, Economics, Project Management, or related areas with 2 years of relevant experience.
- Relevant experience required, including providing professional support in project management and/or programs operations, developing partnerships, and/or project planning and implementation will be required.
- Experience in the implementation of projects in the public / private sector, which involve a large number of stakeholders is desirable.
- Experience in procurement of equipment and/or infrastructure service is desirable.
- Experience with United Nations agencies, international organizations, governments, foundations, international NGOs, or private sector organizations is desirable.
- Fluency in English and Polish (read, write and speak) is required.
