Office/Unit/Project Description
The Action for Climate and Environment (ACE) Unit at UNDP is organized around the thematic areas of climate change adaptation and mitigation, natural resource management, biodiversity conservation, ecosystem restoration, disaster management and resilience, and access to clean and efficient energy.
UNDP seeks to engage a Knowledge Management Associate who will support the ACE unit in strengthening knowledge and data systems within the ACE (Action for Climate and Environment) unit. The Associate will be responsible for managing the knowledge management platforms for the Unit, including the SharePoint repository and the Country Office’s digital knowledge repository, to ensure organized, accessible, and user-friendly knowledge storage and retrieval.
The Knowledge Management Associate will work closely with programme pillars under the ACE Unit to ensure that knowledge generated from project progress, evaluations, project reviews, and results reporting is effectively captured, synthesized, and shared. The role also contributes to corporate compliance and supports the unit in strategic planning and results reporting. The position may also provide additional management and coordination support in response to evolving office needs and requirements.
Duties and Responsibilities

The Knowledge Management Associate will play a central role in managing and advancing the unit’s knowledge function, ensuring that knowledge resources are effectively maintained, and leveraged for impact. This includes managing the knowledge management platform, such as the SharePoint repository for the unit and the Country Office digital repository, as well as monitoring Quantum data for all projects under the ACE portfolio. Beyond day-to-day management, the Associate will contribute to the design, implementation, and continuous strengthening of the Knowledge Management Strategy and Action Plan for the ACE unit. This will involve developing knowledge management tools, leading the creation of knowledge products, and driving the dissemination of strategies and actions to foster effective internal and external information sharing, collaboration, and learning. The Associate will play a key role in transforming knowledge into actionable insights, supporting evidence-based programming, donor reporting, and strategic decision-making.
Knowledge Management Systems and Strategy
- Support in developing and operationalising a Knowledge Management Strategy and Action Plan for the unit in consultation with relevant teams.
- Manage and maintain the SharePoint-based knowledge management platform and the Country Office Digital Repository for the ACE Unit, ensuring that they are updated, user-friendly and accessible.
- Develop and implement processes for systemic collection, storage and updating of project and portfolio-level information on the CO website.
- Generate data-driven insights from Quantum for use in donor reporting, portfolio planning, and decision making.
- Facilitate knowledge exchange with external stakeholders (government, academia, civil society, private sector) to strengthen cross-learning and partnerships.
- Support in piloting emerging digital tools (AI, data visualization, interactive dashboards) for more effective knowledge management.
Development of knowledge products and publications
- Identify, capture and document lessons learned, best practices and innovative approaches from projects, with a focus on gender-responsive results
- Contribute to the design and production of knowledge products and publications (Case studies, briefs, reports, toolkits)
- Document key project outcomes with evidence from climate change adaptation, mitigation and environmental initiatives under the unit to inform programming and policy dialogue.
- Coordinate with communication focal point in ACE and teams when delegated to ensure the effective dissemination of knowledge products through various channels, including digital platforms and events.
- Support management in preparing briefing notes, talking points, and presentations for donors and external partners, based on portfolio knowledge.
- Organise and facilitate knowledge sharing sessions, workshops and webinars to promote learning and exchange amongst teams.
Communications and Dissemination
- Coordinate closely with the Unit’s Communications focal point to ensure knowledge products are effectively disseminated through digital platforms, websites, newsletters, media and events.
- Maintain an up-to-date database of communication and knowledge products across all projects and ensure their accessibility for internal and external stakeholders.
- Organise and facilitate knowledge sharing sessions, webinars, workshops and learning events to promote internal exchange and cross-team collaboration
Learning and Capacity Development
- Support the design and delivery of capacity-building initiatives for staff and / or partners on knowledge management, data use, and documentation practices.
• Provide training sessions on the use of SharePoint, Quantum dashboards, and other KM tools.
Documentation and Reporting
- Support in documenting and aligning M&E and reporting data from Quantum with the Country Office Transparency Dashboard requirements.
- Ensure that all project knowledge and documentation feeds into donor reports, results reporting processes, and portfolio-level knowledge synthesis.
- Maintain high-quality, standardised documentation practices that strengthen institutional memory and facilitate evidence-based decision-making.

Required Skills and Experience
Education:
- Secondary education is required.
- A university degree (bachelor´s degree) in Social Sciences, Communication, Humanities or equivalent field will be given due consideration, but it is not a requirement.
Experience:
- Minimum of 7 years (with secondary education) or 4 years (with bachelor’s degree) of relevant experience in the fields of knowledge management, monitoring and/or communications.
Required skills
- At least 2 years of demonstrable experience of working with the government, bi/multilateral agencies, and/or UN agencies.
- Hands-on experience managing knowledge platforms (e.g., SharePoint) and working with data systems.
- Strong background in content creation, documentation, and knowledge products development.
