ERP Portfolio Officer (Communications and Change Management)
The position is located within the Enterprise Resource Planning - Project Management Office (EPMO), Department of Program Planning and Finance, Administration and Management Sector. The EPMO provides administration and management services across the Organization and is currently undertaking a number of strategic projects across various domains.
The ERP Portfolio Officer will be responsible for leading change management initiatives in the area of training and communications for ERP Projects delivered during 2017, and provide guidance during the transition from project delivery to MAAS Operational Support prior to EPMO closure at the end of 2017. The incumbent will liaise with all members of the EPMO ensuring ERP Portfolio Projects are successfully introduced, will ensure change management activities are integrated into project plans, provide and direct coaching in this area to front-line managers and project managers. In addition this position will represent and deputise for the Portfolio Delivery Manager at project meetings and vendor/supplier meetings as required.
The incumbent will work under the supervision of the Portfolio Delivery Manager, EPMO whilst also maintaining a close working relationship with business managers and the Deputy Director and Head of the Management and Administrative Applications Section (MAAS).
The incumbent will perform the following principal duties\:
(a) Drive the facilitation with senior managers and project managers to obtain a deep insight into the business agenda, understand priorities and create communication plans which are aligned to project deliverables and change management;
(b) Design, monitor, implement and report on strategies and plans for communications, training and change management within projects and the ERP Portfolio office as a whole, by liaising with project managers and business focal points and executives;
(c) Produce training and communication materials for all projects being developed within the streams;
(d) Conduct thorough research to adopt best practice relating to management of web and documentation related to past and future projects in preparation for Portfolio closure.
(e) Prepare reports on ERP initiative for the Portfolio Board, to be used in conjunction with Project Closure;
(f) Plan, organize and participate in project related change management activities and training initiatives, deliver presentations on behalf of EPMO; Manage and administer surveys, lessons learned and other feedback mechanisms to ensure continuous improvement and client satisfaction from staff and management in relation to ERP initiatives;
(g) Assist in the vendor performance management of suppliers and implementing partners throughout project lifecycle and portfolio closure.
(h) Identify and assess current and future training needs through consultation with MAAS and ERP Project managers; develop training courses and plans that meet user’s needs in relation to ERP.
(i) Maintain proactive stakeholder relationships across the Portfolio and business. This includes liaising with the Deputy Director and Head of MAAS, and ERP Portfolio Delivery manager in the area of change management facilitating team building and other working sessions to encourage collaboration across teams;
(j) Perform other duties as required.
First-level university in Communications, Public Administration or related discipline.
Certification in a recognized project management methodology, such as PRINCE2 or, PMP.
At least six years of experience in change management and communications, at least two of which in an international organization;
Experience in designing and implementing training strategies in a project environment with experience in communicating change on technical issues;
Experience of managing change in a public sector organization.
Experience in communication and change management for ERP projects.
Relevant experience within the UN common system
Excellent knowledge of written and spoken English.
Knowledge of French.
Ability to translate complex system information and processes into user-friendly communications and guidelines;
Excellent communication skills, with the ability to communicate ideas and information, using a range of media, and tailor approach and style to match the needs of the situation and audience
Ability to create communications and change solutions that interlock with other project dependencies.
