BACKGROUND
TRAFFIC, the wildlife trade monitoring network, works to ensure that trade in wild animals and plants is not a threat to the conservation of nature. It actively monitors and investigates wildlife trade and provides information to diverse audiences worldwide as a basis for effective conservation policies and programmes. TRAFFIC is a strategic alliance of the World Wide Fund for Nature (WWF) and International Union for the Conservation of Nature (IUCN). TRAFFIC is an international network which is organised into six regional hubs.

This position will work closely with TRAFFIC’s Senior Finance and Administration Officer to ensure smooth operation of all finance matters in the regional office of TRAFFIC East/Southern Africa

The salary range for this position is between USD 23,000 - 29,000 dependent on skills and experience.
JOB DESCRIPTION
Finance Support Duties

a) Check travel advances, travel claims, settlement of advances and process journals.
b) Reconciliation of balance sheet accounts and bank accounts including bank reconciliations
c) Ensure that all payment requests are processed accurately and timeously;
d) Assist in the analysis of financial reporting, performance of projects and ensuring that sound financial control procedures are in place, in line with donor requirements;
e) Enter data into the accounting system
f) Assist with year-end and audit preparation.
g) Prepare statutory returns for review and payment e.g. VAT and liaise with IUCN on VAT refunds
h) Ensuring that all financial records and files (e.g., supporting documents for expenditures, contracts, purchase orders, fixed asset inventory) in the office are well organized, maintained and updated.
i) Ensure all assets are appropriately insured.
j) Review of remote office accounts for accuracy and completeness.
k) Ensure that all procurement procedures are in accordance with the Internal Control System
l) Liaise and reconcile intercompany transactions received from regional TRAFFIC offices.
m) Carry out any other financial and or administrative duties as assigned by the Finance and Administration Officer.

Project Administration Duties

• Creating, maintaining and archiving files for projects within the filing system at TRAFFIC (both hard and soft copies)
• Updating and maintaining the various project databases in the office.
• Support the contracting process and distributing to the relevant parties
• Assisting in the preparation of project audit files, project reports and funding proposals
• Assisting project staff with administrative duties such as logistics and travel
• Assisting project staff with sourcing quotations for all procurement
• Ad hoc administrative tasks to support the projects in the office
