Job description

  • Proper Office Management on daily basis
  • Carries out Admin-related operational/control tasks including correspondence to Government and other agencies as required;
  • Prepares recurring reports as scheduled to governmental authorities
  • Assisting staff in the area of flight bookings
  • Takes minutes of meetings and distributing it to relevant staff
  • Provides translation of documents when needed
  • Drafts correspondence on routine matters
  • Proper supervision of office cleaners and cook
  • Proper management of NRC guest houses in the field and accommodation arrangements for staff
  • Preparing and ensure accurate job descriptions are in place for all staff
  • To act as an administrator on the written tests of applicants and to participate in the interviews
  • Conduct reference checks for job candidates
  • Proper record keeping of recruitment files
  • Maintaining the training and leave records of each employee as per the NRC format.
  • To maintain and ensure HR Database are updated and information related to staff are collected properly on time from Field Offices
  • To maintain and update employee Personal Files regularly and ensure Personal File requirements are met properly
  • To ensure that recruitment files, staff attendance, timesheets, and payrolls on monthly basis prepared, checked, and filed properly
  • Support and ensuring that Field Office staff has obtained Tax Identification Numbers and National Work Permits
  • Monthly reporting to Support Office related to Administration and HR activities and when required

Qualifications

  • Excellent understanding of the Admin/HR issues
  • At least 2 years previous work experience with a satisfactory performance in the same or similar functional area preferably with UN or international NGOs;
  • Technical or university degree in Administration/HR/Management
  • Excellent knowledge in Microsoft Office
  • Good knowledge of English and Local Languages (Dari & Pashto) both verbal and written
  • Ability to work additional hours if and when required;
  • Ability to commence work as soon as possible
