Purpose of the Position

MAJOR DUTIES AND RESPONSIBILITIES  

Under the general supervision of the P-4 Planning Specialist, performs a variety of information collecting, monitoring, technical and administrative services of moderate scope and difficulty in support of programme activities.

Manages all incoming fund contributions to the Regional Office, allocates as per indications and keeps track of accurate utilization and expenditure levels in VISION.

Provides regular analysis and reports based on VISION on the RO's contribution management and donor reporting to senior programme management, including the ROMT and the ESARO Budget Team meeting. Keeps track of grant utilization status and donor reporting schedules.

Maintains an overview of OR and RR funding at all times and supports HR in identification of appropriate OR/RR funds for respective posts. Supports the planning section in preparing analysis and overview documentation of regional contribution management reports.

Maintains the RO's information management system including VISION grant management module and SharePoint. Regularly updates and organizes the system as per requirements.

Specific to the planning section, monitors project/programme activities by reviewing a variety of records, including workplans, progress reports, project inputs, budgets and financial expenditures.

 Provides any additional administrative support (including contract management and meeting organization) to the planning section as required.

 

 

  • The post is entirely office based. Travel may be required in case regional meetings or workshops are held outside of the duty station requiring assistance by the post.
  • The post in its contribution management function is responsible for accurate allocation and tracking of funding. In this capacity, the incumbent advises staff on the appropriate allocation and utilization requirements of donor funds received and reporting requirements.
  • The post will be supervised by the regional Planning Specialist (P-4). Once the incumbent has been informed about tasks and basic work processes, the incumbent is expected to operate on a fairly independent basis.
  • The post will see very frequent exchanges with regional office staff of all levels. The post is expected to take on a lead and guiding function among the administrative assistance. Frequent exchanges with DFAM, PPD, PFP, DFAM, EMOPS are included.

 

Qualifications of Successful Candidate

Education

Completion of secondary education, preferably supplemented by technical or university courses in a field related to the work of the organization. 

Work experience

Seven years of progressively responsible clerical or administrative work, of which at least one year was closely related to support of programme activities. 

Language Proficiency

Fluency in English. Knowledge of the local working language of the duty station is an asset.
