Context:

Under the supervision of the Publications Coordinator and working in the Migration Policy Research Division within the Department of International Cooperation and Partnerships, the successful candidate will be responsible and accountable for supporting the work of the Publications Unit with a special emphasis on administrative tasks, including communications with Country Offices and the Publications Unit (PUB) staff based at the Manila Administrative Centre (MAC) and with limited promotional and editorial tasks.

Core Functions / Responsibilities:

Administrative and publication tasks

1. Maintain the filing system and orderly storage of publications.

2. Keep the inventory up to date.

3. Coordinate with the mail room to ensure that bookstore orders to be shipped from Geneva, as well as internal requests, are sent.

4. Assist in updating the book displays in IOM buildings with the latest publications. 5. Assist in the selection and set-up of publications displays at meetings and conferences. 6. Assist in the coordination procedures with accredited printers, while adhering to internal procurement procedures.

7. Participate in PUB video conferences, administrative assistants’ meetings and other meetings as required.

Page 1 / 38. Provide guidance to colleagues in Geneva and in Country Offices on IOM publication issues. 9. Redirect queries when necessary and facilitate contacts as required.

10. Review publications in the online bookstore catalogue and liaise with the Bookstore Assistant in Manila for eventual updates.

11. Assist in uploading thumbnails and other information for the online bookstore as needed. 12. Assist in updating the backend as needed.

13. Perform such other duties as may be assigned.

Required Qualifications and Experience:

Education

• University degree in Journalism, Communications or a related field from an accredited academic institution with two years of relevant experience; or

• Completed High school / Secondary school education with four years of relevant experience. Experience

• Experience in administration and/or publications;

• Excellent drafting skills in English and French;

• Demonstrated computer literacy, especially with Microsoft Office and Internet browsers; • Knowledge of Creative Studio Suite, research databases such as Google scholar and other open access databases such as Creative Commons, would be an advantage.

Languages

Fluency in English and French is required. Working knowledge of Spanish is an advantage. Note
