Administrative Officer (Protocol) - NOA - Senegal Country Office

The position will provide support and services related to onboarding of staff and protocol to the Regional Office and Senegal Country Office, including senior staff visiting Dakar, Senegal. The incumbent will work closely with all other units of the common services to ensure all onboarding related actions are taken appropriately.

Purpose of the Position

 The position will provide support and services related to onboarding of staff and protocol to the Regional Office and Senegal Country Office, including senior staff visiting Dakar, Senegal. The incumbent will work closely with all other units of the common services to ensure all onboarding related actions are taken appropriately.

Key Expected Results

 The incumbent contributes to creating an efficient and effective office processes and conducive working environment where staff personal and professional development would result in efficient a timely contribution to achieve office objectives thereby contributing to the strategic goals of the organization.

Key Accountabilities and Duties & Tasks

  • Arrange airport transfers of high-level officials and UNICEF visitors such as donors and support to expedite customs and immigration procedures as necessary.
  • Manage Airport Protocol Operations; facilitate airport lounge and airports transfers in support of departure and arrival of Senior or newly appointed and departing Staff.
  • Follow-up on staff members' and their recognized dependents applications for visas, resident permits and diplomatic identification as well as other necessary related documents in accordance with the requirement of the United Nations and the Host Country
  • Liaise with the relevant Host Country Government (Ministry of Foreign Affairs/Protocol unit, Immigration department) for troubleshooting any protocol related matters in support of the Regional Office, Senegal Country office and any other neighboring country relying on diplomatic representations in Senegal as and when required
  • Help processing relevant clearance and entry permits for filming equipment for visiting crews
  • Process annual requests for airport passes for eligible staff on their annual submissions for blanket VAT exemptions
  • Facilitates the installation of new arrived staff into office premises by liaising with all concerned sections (space allocation, office equipment, security badges, etc…)
  • Maintains comprehensive files and early notification systems.
  • Any other duties assigned by supervisor or Chief of Operations

 Qualifications of Successful Candidate

 Education: University degree in social sciences, business management, administration, finance or any other relevant field of discipline.

 Experience: One year of relevant professional work experience with both national and International work experience in office management and administration related to national protocol or any other relevant function.  

6 years of working relevant experience to compensate for the university degree.

Language Requirements: Fluency in French and good working knowledge English required. Knowledge of the local language is an asset.
