Under the direct supervision of the Human Resources Officer of HRM/SES/Team 2, the HR Assistant provides front-line services, in an assigned organizational or geographical context, to staff members from their appointment to the end of their employment. More particularly, s/he will\:

Process staff member’s benefits and entitlements in accordance with Staff Rules and established HR procedures.

Carry out personnel support duties related to the employment and servicing of general service and professional staff initiating a range of personnel actions such as appointments, extensions, transfers, etc.

Provide front-line response to telephone enquiries, visits and correspondence from persons seeking information and/or assistance concerning salary, entitlements and allowances.

Answer various human resources queries from staff members, provide information and verify staff entitlements raising more complex issues with the supervisor.

Review, maintain and update confidential personnel information, records and files. Ensure completeness and accuracy of records, follow-up on actions to be taken, prepare related reports. Update HR database in the HR management systems.

Draft various correspondence/document related to human resources issues.

Investigate, follow-up and resolve inquiries in collaboration with peers from Payroll Unit, Finance and Administrative Units and other business partners.
EDUCATION
-
Completed secondary, technical and/or vocational education.
WORK EXPERIENCE
-
A minimum of 5 years of work experience in the field of human resources, administration or related areas.
SKILLS/COMPETENCIES
-
Excellent organisation and time management skills.

Excellent interpersonal and communication skills (oral and written), including ability to draft correspondence in English and French.

Service-oriented and ability to deal efficiently and tactfully with people of different cultural background.

Utmost discretion, integrity, tact and diplomacy.

Attention to detail and meticulousness.

Judgment and ability to work autonomously.

Ability to work as part of a team, take initiatives and provide quality and timely support services.

Ability to adjust work schedules and priorities.

Good knowledge of IT skills with proficiency in the use of MS Office.
LANGUAGES

Excellent knowledge of English or French and good knowledge of the other language.
WORK EXPERIENCE
- Relevant experience in the UN System or other international organizations.
SKILLS/COMPETENCIES
- Good knowledge of IT tools such as SAP.
- Good knowledge of UNESCO’S rules, administrative procedures and standard practices.
