The Division of Finance & Administration (DFAM) at UNICEF HQ strives to provide relevant, accurate and timely information to the UNICEF executive leadership to facilitate robust decision-making and strategic direction recognizing the needs of children across the world. DFAM endeavours to further instil a financial mind set across UNICEF, influencing organisational behaviour and partnering with business owners to identify and manage risks proactively, strengthen results-based management, promote continuous dialogue on cost consciousness, and identify opportunities to eliminate redundancy and improve processes, including shared services. The Administrative Management Section deals with facilities & security management of UNICEF HQ premises, travel & transportation, diplomatic pouch & mail, documents & reproduction, administrative support of field offices, common services & facilities in field locations.

How can you make a difference?

As part of the Field Services and Inclusive Operations Unit in DFAM's Admin Management Services, you will provide leadership in helping to achieve the organizational goals set for our global field office network, in improving admin support, eco-efficiency, accessibility and inclusiveness of operations and premises. Some of the key functions involve as follows:

Administrative Management Support

Ensure effective administrative support to the field and regional offices in the areas of office and residential leasing, space utilization and accessibility, eco-efficiency, construction, while ensuring compliance with administrative policy and procedures, to achieve concrete results according to the work plan developed by the Administrative Management Section to ensure the safety and security of staff in the field, improve UNICEF premises, and optimize the eco-efficiency and inclusiveness of UNICEF's office network.

Property Management

Oversee/monitor consultations with and evaluations of proposals from field offices for office premises and make recommendations regarding location, safety, access to services/facilities, including space design and utilization and compliance with UN space standards. Review field office submissions related to construction/renovation of office premises and provide assessment and recommendation of alternatives. Evaluation of estimated costs including rental, relocations, maintenance and utilities. Liaise with EMOPS/UN Safety and Security Division on security issues.

Inter-Agency Collaboration

Represents UNICEF as the leading agency in evaluating and improving the accessibility, energy efficiency, resource use, and environmental footprint of common UN premises. Liaise with UNDP, UNFPA and WFP to establish common premises and UN Houses as well as on existing inter-agency arrangements. As UNICEF's focal point for Common Services, support initiatives to establish similar arrangements in field offices, analyze cost implications and ensure compliance to established guidelines.

To qualify as a Champion for every Child you will have… 

  • An advanced university degree (Master's) in Business Administration or Management or a related field is required.
  • A minimum of 8 years of relevant experience in administrative services, overseas office administration and experience in general management and office organization and methods, preferable within UN systems or other international organization is required.
  • Fluency in English (verbal and written) is required.  Knowledge of an additional UN language ((Arabic, Chinese, French, Russian and Spanish) is considered an asset.
