Under the direct supervision of the Fundraising Specialist, this post provides day-to-day administrative and clerical support to the Fundraising Specialist and PFP Team covering all aspects of PFP operations.

Major Duties and Responsibilities

 

  • Assist in the day-to-day operations of the PFP unit:

    • Preparing travel requests / transportation arrangements, request for payments to GSSC and the like.
    • Screening of incoming correspondence and telephone calls, arranges meetings and takes down minutes.
    • Filing of documents based on existing filing methods.
    • Monitoring and maintenance of PFP Files and Inventory stored in the UNICEF Warehouse (Dispatch and Delivery Requests, etc.).
    • Manages transactions and activities in VISION (e.g. Request for Contract Processing, Travel Authorizations, etc.)
    • Provide support for other related tasks needed by the section’s staff members.

       

  • Provide administrative support to the Section Chief through the following tasks:

    • Coordinating and managing schedules for the Section Chief and manages the team calendar.
    • Preparation of the monthly income report and the monthly expenses report.
    • Updating and submission of the Income and Expenses Reports in COGNOS quarterly, annually.
    • Internal coordination with other sections / units in relation to PFP Activities as needed.

       

  • Deliverables

    • CMT Report & Analysis from August 2017 to January 2018
    • Monthly Expenses Report from August 2017 to January 2018
    • Submission of PFP Invoices for payment processing (e.g. Scanning of hardcopies and submission to the GSSC Local Focal Person).
    • Request for Contract Processing / Amendment – Service Contracts, Procurement of Consummable Items (e.g. Printing of Fundraising Materials, etc.), Procurement of Equipment / Furniture.
    • Handover notes of tasks completed during contract period.

 

Qualifications and Competencies of Successful Candidate

  1. Education:
  • University degree required.  Proven skills in computer applications, particularly in Microsoft Office Applications (Word, Excel, Powerpoint etc.).  Knowledge of basic office management.

     

  1. Work Experience:
  • At least two years experience on Administrative and Clerical Work, preferably a background on Accounting / Finance and / or Logistical tasks.

 

  1. Languages:
  • Fluency in English and Filipino, both oral and written, and the local working language of the duty station.
