We are looking for a highly qualified candidate who has the skills to join DRC as Administrative Officer 

 
Who are we? 
DRC has been operating in the Middle East and North Africa for over a decade, running a combination of livelihood, protection, advocacy and relief projects. DRC has six project offices throughout Iraq, Lebanon, Syria, Tunisia/Libya, Turkey, and both a country and regional office in Jordan. 
DRC Lebanon has been assisting the Syrian displaced, fleeing Syria into northern Lebanon, since May 2011. This assistance has come through the provision of food and non-food items, various outreach activities (registration, follow-up and awareness sessions) rehabilitation of collective shelters and the implementation of quick impact projects.

About the job 
The Administrative Officer ensures the smooth and efficient running of the office on a daily basis by managing and implementing procedures in all Admin related issues, including office management, travel, insurance, legal, and archiving. 
 
Duties and Responsibilities 
Ensures overall compliance to the Administrative chapter of DRC’s Operational Handbook on the following points: 
• Office Management 
Tracks offices and warehouses insurances and ensures that renewals are done in a timely manner.Inform Staff about DRC policy on International Staff Accommodation.Act as a liaison between accommodation brokers and international staff to find proper accommodation.Inspect staff accommodation and record inventory before and after staff reside in respective accommodation.Track all repairs and maintenance to staff accommodation and ensure zero liability to DRC. 
Ensure that lease contracts are drafted correctly in coordination with the lawyer.Record and file all signed lease contracts in hard and soft copies in employees’ files or admin file for office/warehouse leases.Responsible of tracking and updating Lease Contracts spreadsheet and notifying the HR and Admin Manager when lease contracts are about to end.Where relevant, process payments for all international staff accommodation and liaise with Finance staff for reimbursement/payment of excess amounts to DRC by international staff. 
• Travel and accommodation 
Responsible of booking tickets for travel outside Lebanon for all DRC staff, in liaison with the travel agency.Follow up with bookings, pick-up and accommodation in Lebanon for visiting staff.Manage DRC international staff accommodation, from the selection to the exit state of place. 
• Insurance 
Responsible for national staff insurance; register, update and unregister them, follow up on payments.Represents DRC to National insurance company.Answering staff requests related to insurance when needed.Responsible of DRC premises insurance, including offices, warehouses, and apartments. 
• Legal and archiving 
Liaising with DRC Legal advisor on contractual issues and legal documentation.Ensure proper and safe archiving of DRC Lebanon files, according to DRC Operational Handbook guidelines.

 

About you 

To be successful in this role you must have: 1 to 3 years of relevant administrative experience

Moreover we also expect the following: 

Required qualifications 
• Used to contract management and legal context in Lebanon 
• Bachelor in Administration or Management 
• English average level 
• Arabic fluent level with strong written skills 
 
We offer 
DRC will offer the successful applicant a contract until 31st of December 2017, renewable dependent on both funding and performance. You must be available to start work from June 2017 and be willing and able to work in Beirut. 
Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for Nationals; please refer to www.drc.ngo under Vacancies. This position will be placed at level C. Monthly Basic Salary 1699 USD.
