Purpose of the Position  

Under the supervision of the Senior Logistics Specialist, the Logistics Assistant will be responsible for receiving and monitoring all UNICEF supplies, customs clearance, warehousing, transport orders and organizing and monitoring all ongoing distributions of UNICEF supplies to consignees.

 

The Senior Logistics Assistant will also manage logistic invoice payments, monitor inventory levels, expiry dates and insurance issues. The SM will regularly provide logistical reports, download Vision T-codes and SD dashboards for monitoring purposes and will provide logistical information to sections regarding supply pipeline TADs, distribution and inventory levels.

 

At the G-7 level, the below tasks are expected to be carried out with a high level of independence.

Key Expected Results

The capacity of the Senior Logistics Assistant to effectively and efficiently carry out the above duties contributes to the efficient planning, management and oversight of cost effective logistics, inventory, storage and delivery of supplies and related services directly impact on program delivery of goals and results. This in turn contributes to maintaining/enhancing the credibility of UNICEF as an effective and responsible manager of funds entrusted to the organization and to furthering UNICEF image as a competent organization for delivering cost effective and sustainable program results.

Key Accountabilities and Duties & Tasks 

  1. Monitor all shipments to ensure timely arrival of supplies - monitor PO TAD/s and DFAM ZGIT guidelines. For all offshore supplies ensure timely customs clearance.
  2. Organize distribution of supplies to consignees using ZSUPPLY and ICL providers.
  3. Interact on a regular basis with third party logistics service providers.
  4. Maintain communication with warehouse staff to ensure proper UNICEF MCO warehouse processes are complied with. For volume supplies ensure that UNICEF warehouses have sufficient space for incoming supplies (RUTF, Tents, SIBs, plastics, SD kits, etc).
  5. Ensure accuracy of all inventories in UNICEF warehouses, i.e. quarterly and annually.
  6. Review all ICL invoices for accuracy - ensure all ICL invoices are processed in a timely manner and correctly filed.
  7. Organize all ICL files both manually and electronically.
  8. Reconcile all waybills Shipping Area Deliveries (SAD) for all supply distributions in a timely manner – outstanding SAD should not exceed 3 months.
  9. Prepare regular and accurate logistic reports including Vision T-codes and SD dashboards. As and when requested provide MCO staff with supply pipelines, distributions and inventory status using Vision T-codes (e.g. ZCOINV, ZROSTS, ZFLOW).
  10. Ensure ongoing monitoring of expiry dates of supplies and advise Logistics Specialist and relevant sections of all impending expiries. Dispose of unserviceable or damaged items through the PSB process.
  11. As and when required compile and submit insurance claims for all short deliveries.
  12. Assist the Logistics Specialist with all emergency related ICL matters so that emergency supplies are dispatched in a timely manner for all emergency responses.
  13. Attend all meetings that relate to logistics operations.
  14. Communicate in a timely manner to the Logistics Specialist any potential obstacles or issues that would impede program activities.
  15. Undertake at least two field mission per year - F4P and IP warehouse capacity building.
  16. Assist MCO staff onboarding and exiting with all matters related to customs clearance and shipping of personal effects /vehicles.
  17. Any other logistic related duties that may be requested by supervisor and /or management.

 

Qualifications of Successful Candidate

Qualification 

Completion of secondary school education is required, with courses/certifications in business administration, supply chain management, procurement or logistics considered as an advantage.

A Bachelor's degree in Logistics or related field is an asset.

Experience 

Minimum 7 years of progressively responsible administrative and/or supply-related work experience (procurement, supply or logistics) is required.

Familiarity with UNICEF, UN supply procedures and systems is an asset.
