Under the overall authority of the Assistant Director-General of the Education Sector, the overall guidance of the Director of the Executive Office and the direct supervision of the Chief of the Knowledge Management Services, the incumbent will maintain and monitor the stock of Education Sector publications and documents. In particular, the incumbent will provide a full range of office, as well as administrative and management support as follows\:

  • Maintain and monitor the stocks of publications; prepare, pack and dispatch publications and documents; liaise with colleagues regarding their distribution lists; update the database of publications and update the list of contacts; prepare ED information folders for meetings organized at Headquarters.
  • Assist in the reception and installation of new workstations, peripheral equipment using standard hardware and software. 
  • Assist in the management of office space, coordinate the work of the movers when necessary and carry out minor removals on demand, troubleshoot administrative problems (telephone, computer, office furniture) for newcomers.
  • Daily collect, distribute and dispatch incoming mail to the appropriate recipient; collect outgoing mail and deliver to the Mail Service; ensure the order and inventory of office supply for the Executive Office, the ADG/ED office and for the meeting rooms.
  • Assist in the coordination of the Education Sector's meetings rooms reservation; ensure set-up of rooms and equipment; support colleagues in the organization of online conferences (Skype4Business).

EDUCATION

  • Completed secondary general education or apprenticeship.  

WORK EXPERIENCE

  • At least 1 year of relevant work experience in administrative and office-related support tasks.

SKILLS/COMPETENCIES

  • Attention to detail.
  • Discretion, integrity, good sense of judgement and capacity to deal efficiently and tactfully with people of different cultural backgrounds.
  • Ability to work as part of a team.
  • Flexibility to adjust work schedules and priorities; capacity to work effectively under pressure and provide quality and timely support and services.
  • Very good IT skills with proficiency in the use of Microsoft Office Pack and databases.  

LANGUAGES

  • Excellent knowledge of French or English and satisfactory working knowledge of the other.

WORK EXPERIENCE

  • Experience of work with databases and spreadsheets.

SKILLS/COMPETENCIES

  • Excellent knowledge of stock management.
  • Knowledge of UNESCO rules, administrative procedures and standard practices.
  • Knowledge of web conferencing tools such as Skype4business.

LANGUAGES

  • Good knowledge of another official language of UNESCO (Spanish, Arabic, Chinese and/or Russian).
