Organizational Setting

 

The Department of Nuclear Sciences and Applications implements the IAEA's Major Programme 2, "Nuclear Techniques for Development and Environmental Protection". This Major Programme comprises individual programmes on food and agriculture, human health, water resources, environment and radiation technologies. These programmes are supported by laboratories in Seibersdorf, Monaco and Vienna. The Major Programme's objective is to enhance the capacity of Member States to meet basic human needs and to assess and manage the marine and terrestrial environments through the use of nuclear and isotopic techniques in sustainable development programmes.

The IAEA Environment Laboratories consists of four laboratories, three of which are located in Monaco and one in Seibersdorf. The Division implements the IAEA Environment Programme and operates in a complex matrix environment with inputs from many parts of the organization, such as the Department of Technical Cooperation for the implementation of projects, and also collaborates with other Departments.


Main Purpose

 

Under the supervision of the Administrative Assistant the Front Desk Assistant operates the reception desk of the Monaco Environment Laboratories by coordinating incoming phone calls, distributing mail and receiving visitors to the Laboratories. He/she provides other logistical and clerical support to the division, in particular to Electronic Engineering Services and Administrative Support (Director's office Section), such as receiving deliveries, assisting with the logistics of the library, and providing support for visiting groups.


Functions / Key Results Expected

 

  • Receive all general in-coming calls and distribute them internally, identify (both incoming and outgoing) mail and distribute to the relevant sections and receive all visitors after security check and registration.
  • Receive all deliveries in cooperation with Procurement Assistant and Security Guards according to security and safety regulations. Survey security alarms installed in security guards room in absence of security guard and assist the security guards, such as with the distribution of keys.
  • Support new staff, fellows and consultants with housing and settlement in the area.
  • Provide support for visiting groups, laboratory tours and logistical support to Agency meetings.
  • Assist with the logistics of the Monaco library and publications by registering books and journals ordered by the procurement assistant, distributing articles received to all staff etc.
  • Provide general clerical support for Electronic Engineering Services and Administrative Support (Director's office Section) as required.

Qualifications, Experience and Language skills

 

 

  • Completed secondary education.
  • Minimum of two years of relevant secretarial/receptionist working experience, preferably in an international environment.
  • Working knowledge level for English and French, needed for internal and external communication with staff, security guards and visitors.
  • Excellent oral and written command of English and French. Knowledge of other official IAEA languages (Arabic, Chinese, Russian and Spanish) is an asset.
  • English language test (level 2) and typing test (level 2) to IAEA standard.

Remuneration

 

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at EUR 30071 (subject to mandatory deductions for pension contributions and health insurance), 6 weeks' annual vacation, pension plan and health insurance

Appointment is subject to a satisfactory medical report. Recruitment will be on a LOCAL BASIS only. Outside applicants are required to supply to the IAEA or to authorize it to seek all information relevant to their suitability for employment by the IAEA. Testing may be part of the recruitment process.
