Purpose of the Position

To provide secretarial/administrative support to the Section

MAJOR DUTIES AND RESPONSIBILITIES

 

Act as the backup for the HR Officer P2/NOB by maintaining confidentiality of information attends to all activities related to the “e recruitment ON LINE” covering posts in the three categories of staff. Additionally responsible for the generating complex reports, including office wide gender data, issuance of employment letters as well as maintaining and updating as required the official organogram.

 

Down loading of applications received, on line for national posts and screening of the candidates, and the preparation of short list matrix.

 

Down loading of “Employment Form and Achieve PAS of candidates in the HR short list for international posts.

 

Down loading of candidates HR long list at the request of the Representative for all international posts including those who are in the Talent Group, Abolished Posts and on Rotation.

Sending invitation and Assist in the administration for recruitment test for all categories of posts.

 

Update /compile weekly the staff lists containing the names and categories of staff for information of the Chief of Operations as well as the Local Security Officer.

Maintain monthly staff list with information on dependents to be sent to UNDSS.

Maintain and update emergency contact list as per given template for the information of UNOPSCEN  (Every quarter )

Provide staff gender data for the Regional Office on a quarterly basis.

Release job advertisements for publication and upload advertisement with JD on the website using red dot.

 

Control identity card register and arrange issuance of Identity cards to new staff as well as renewals.

Monitor the issuance electronics door access Identity Cards for staff and non-staff.

Operate the electronic door access Security Manager System.

Provide door access facility to those staff working late hours and reports for work on holiday and weekend.

 

Supervise archiving functions: scanning and up-dating/filing of circulars, official status files etc.

Draw up action plans for new comers for the provision of Accommodation, Schools, Opening of Bank Accounts, Shipment of personal effects, Transportation etc.

Organise welcome kits for newly recruited staff and co-ordinate briefings by Section Chiefs.    

 

Be responsible for providing secretarial and administrative support to the Chief.

Arrange appointments and assist in organizing meetings, workshops, section meetings, and studio/video conference facility.

Make travel arrangements and manage transport requirements for the section and visitors.

 

Maintain stock of office stationery for the section and prepare timely requisition for the expendable/non-expendable items.

 

Provide support in desk-top publishing, electronic communication (using Outlook, internet, etc.), preparation of graphs and electronic presentations, explore internet to track information.

 

Act as IT Focal Point for the Section - coordinate with IT Section on IT related issues, trouble shooting and resolve computer related problems of the Section. 

 

Provide support during interim and comprehensive salary surveys.

 

QUALIFICATIONS, SKILLS AND ATTRIBUTES required to perform the duties of the post:

 

a)         EDUCATION (Indicate type of education/training required including skill in equipment operation.)

 

Completion of secondary education supplemented by technical or university courses in the relevant field

 

            Proficiency in the use of computers.  In-depth knowledge of computers, especially in word processing, spreadsheets, graphics...  Experience in use of Internet and e-mail is also essential.

 

Specialized training in Office Administration or modern office procedures desirable.

 

b)         WORK EXPERIENCE (Indicate the length and type of practical experience required.)

 

Minimum 5 years of experience in related field.

 

c)         LANGUAGES (Indicate the languages required and desirable.)

 

Fluency in English and very good working knowledge of Bangla
