Administrative Assistant II The International Potato Center (CIP) is seeking a dynamic and responsible Administrative Assistant with high levelof commitment and excellent organizational skills to provide administrative support to the SO Conserving Biodiversity for The Future – CIP Genebank-.

The Center: CIP is a not-for-profit international agricultural research-for-development organization with a focus on potato, sweet potato, and Andean roots and tubers. It vision is of roots and tubers improving the lives of the poor. CIP is dedicated to achieving food security, improved well-being, and gender equity for poor people in root and tuber farming and food systems of the developing world. The position: The objective of the position is to assist and support the Genebank in a wide range of administrative and general support duties of a highly responsible and sometimes confidential nature toguaranteesmoothflowandeffectivenessofProgramoperations.ThispositionwillbebasedinLima, Peru, and will report to the Genebank/Program on Conserving Biodiversity for the Future Leader. Duties and Accountabilities:

  • Organize and maintain updated Program’s official correspondence, communicate and handle incoming and outgoing electronic communications on behalf of the Head of the Genebank to follow up on pending matters with limited direction.
  • Assemble and draft documents, such as contracts or reports, requiring the integration of information from multiple sources and application of office technology and software, often of a highly technical and/or confidential nature, to ensure availability and accuracy of draft documents.
  • Properly, promptly and efficiently receive and screen telephone calls, letters, e-mails and/or visitors for the Genebank to prioritize members’ attention and provide a professional impression.
  • Coordinateandmanagesupplychainandresourcerequirementstomaintainanadequatelevelof office supplies and good functioning of equipment. Coordinate national and international trips and provide assistance to the Program’s members to ensure all the arrangements (travel and lodging) and travel matters are being followed correctly.
  • Coordinate and update calendar for the Genebank, requiring interaction with both internal and externalcollaboratorstocoordinatemeetingsandensureLeader(s)areinformedaboutmembers’ activities.
  • Assist in the organization of events, workshops, visits and trainees within the Head of the Genebank.
  • Comply with national and international health and safety laws, regulations and standards

Selection Criteria:

  • Technical degree in secretarial administration
  • Excellent skills in handling office technology and software applications
  • Outstanding writing and reporting skills.
  • Ability to organize department activities and processes.
  • Punctuality and organizational skills.
  • Advanced written and oral communication skills in English

Conditions: This position is local and employment contract will be for a six-month term with three months of probation period and with the possibility of renewal. CIP prides itself on its collegial and supportive working environment, which allows space for personal and professional growth.
