ADMINISTRATIVE ASSISTANT

Under the overall authority of the Assistant Director-General for External Relations and Public Information, the Director of the Division of Member States and Partners, and the direct supervision of the Chief of the Participation Programme and Fellowships Section, the incumbent shall provide a full range of office and administrative support.

In particular s/he will\:

  • Prepare Announcement letters and terms of reference on fellowships programmes (FL) in conformity with the Programme and Budget and with Projects' documents; receive and pre-evaluate candidatures for conformity with the conditions and criteria stipulated in the Announcement letters; dispatch candidatures to donors for final selection.
  • Administer requests received from Member States under the Participation Programme (PP) and verify their compliance with UNESCO’s standards and priority areas; notify Member States of missing information and/or supporting documentation.
  • Ensure regular update of relevant information on PP on the websites of ERI and Member States; collect data and contributions for publications and brochures; coordinate with the relevant in-house authorities and donors the approval of contents; provide administrative and logistic support for translation of texts,  printing, binding etc.
  • Verify accuracy of estimated budgets compared to UN standards and ensure administrative follow up; follow up on payment authorization and submission of financial and evaluation reports; prepare the related acknowledgement/status correspondence.          
  • Maintain files and reference systems regularly updated and verify them to ensure monitoring and accuracy of reporting.
  • Answer queries  from, and  provide information and explanations to National Commissions, Permanent Delegations, Field Offices and fellows regarding  FL and PP Programmes.

EDUCATION

  • Completed secondary, technical and/or vocational education.

WORK EXPERIENCE

  • At least 5 years of relevant work experience in secretarial and/or administrative tasks in an international environment.

SKILLS/COMPETENCIES

  • Good interpersonal and communication skills including drafting skills.
  • Good organizational and coordination skills.
  • Flexibility to adjust work schedules and priorities; capacity to work effectively under pressure.
  • Discretion, good sense of judgement and capacity to deal efficiently and tactfully with people of different cultural backgrounds.
  • Good IT skills with proficiency in the use of MS Office (Outlook, Word, Excel, PowerPoint, etc.). 

LANGUAGES

  • Excellent knowledge of English or French and good knowledge of the other language.

EDUCATION

  • General administrative training.

SKILLS/COMPETENCIES

  • Knowledge of UNESCO rules, administrative procedures and standard practices.

LANGUAGES

  • Knowledge of another official UNESCO language (Arabic, Chinese, Russian or Spanish).
