Purpose of the Position

Under the supervision and guidance of the supervisor, the programme assistant supports the respective section through providing a range of procedural, administrative, and operational support in developing, implementing, executing and monitoring their country programme, ensuring effective and timely delivery that is consistent with UNICEF rules and regulations.

Major duties and responsibilities:

 

A.  Assist in coordinating the BCO local Travel Authorization and settle travel claims on timely manner and close the TAs after the claim settlement. Keep proper record of the TAs and provide monthly status reports Assist GL analysis and the matching and clearing of open accounts on a monthly basis. Assist the office in the smooth rollout to Et2f

 

  1.  Travel to  Field (T2F)

    1. T2F invoice processing for all staff

      • In doing this task the post reviews all the T2F invoices for payments
      • Submits the invoices to GSSC through My Case.
      • When payment is done, update payment information in T2F which is crucial for staff to track the status of their TA payments and status.
    2. Creating receivables due from travelers

      • Review and prepare receivable invoices for local travel and forward it for parking.
      • Matching and clearing of the open items
    3. T2F Database Maintenance

      • Update DSA rates in T2F system
      • Update and maintain Fund Management information in T2F system.
  2. After the rollout to Et2f, all the processes of A will change from T2F toET2F
  3. Review of Invoices for the 9 Petty cash account and process their replenishment requests for Dhaka and all the 8 Field Office and the Rangamati Sub-Office.
  4. DCT payments and their relevant supporting documents and accounting entries in accordance with the UNICEF established rules, regulations and systems.
  5. Any other task assigned by supervisor and keeping abreast of new rules and regulations in the Financial and Administrative Policy, review and revision of work processes in the section.

Qualifications or specialized knowledge/experience/competencies required for the assignment:

 Education:

Completion of secondary education. University degree in business management, administration, finance or any other relevant field of discipline would be an asset.

 Work experience: six years of general accounting/finance related experience

 Language requirements: Fluency in English and very good working knowledge in Bangla
