Organizational Setting


The IAEA is the world's centre of cooperation in the nuclear field. It was set up as the world's "Atoms for Peace" organization in 1957 within the United Nations family. The Agency works with its Member States and multiple partners worldwide to promote safe, secure and peaceful nuclear technologies. The IAEA Secretariat, a tem of 2300 multi-disciplinary professional and support staff from more than 100 countries, is headquartered at the Vienna International Centre in Vienna, Austria.


 

 

Main Purpose


In order to identify candidates for short-term administrative assignments in its headquarters in Vienna, the Division of Human Resources maintains a roster of qualified applicants.

Functions / Key Results Expected

 

Short-term assignments may encompass the following tasks\:

 

  • Drafting standard correspondence according to corporate communication guidelines.
  • Making arrangements for internal/external meetings and other events.
  • Making travel and hotel arrangements.
  • Formatting letters and documents in accordance with standard operating procedures.
  • Searching office files and records for information.
  • Preparing graphs, charts and other visual aids.
  • Maintaining hard copy and electronic files according to corporate standards.
  • Using databases to input and retrieve information.
  • Using document tracking and management reporting systems.
  • Providing support in the area of budget and finance.

 

Education, Experience and Language Skills

 

  • Completed secondary education.
  • Minimum of four years of relevant administrative working experience.
  • Excellent knowledge of written and spoken Spanish required.
  • Experience in project and personnel administration.
  • IT skills (MS Word, Excel etc.) The knowledge of specific IT tools may be required.
  • Knowledge of procedures and administrative guidelines in an international organization.
  • Organizing skills\: Ability to prioritize work assignments, organize own schedule, perform routine work independently, meet deadlines, adapt to constantly changing demands and multitask. Ability to manage a heavy workload under time pressure.
  • Focus on quality\: Ability to work with a high degree of accuracy and attention to detail in a busy office environment.
  • Fluency in written and spoken English. Knowledge of another official IAEA language (Arabic, Chinese, French or Russian) an asset.

Remuneration


The IAEA offers an attractive remuneration package, including a tax-free net base salary. Remuneration level will be determined by the grade of the short-term assignment.

 


 

Registration into the Pipeline does not constitute in any form a commitment on the part of the IAEA for taking a particular application into consideration in the recruitment process for any vacancy. Pipeline registration is only valid for two years. Candidates need to re-register again after two years of initial date of registration to be considered as an active pipeline applicant.
Appointment is subject to a satisfactory medical report. Recruitment will be on a LOCAL BASIS only. Outside applicants are required to supply to the IAEA or to authorize it to seek all information relevant to their suitability for employment by the IAEA. Testing may be part of the recruitment process.
