The Norwegian Refugee Council (NRC) is a non-governmental, humanitarian organization experienced in helping to create a safer and more dignified life for refugees and internally displaced people. In the light of the high influx of migrants to the Greek islands, NRC has started an emergency response programme on the island of Chios in mid-October 2015. NRC directly assisted over 70,000 refugees and migrants, working together with the Greek authorities, humanitarian actors and volunteers to set up and maintain a dignified and efficient flow of refugees from arrival at the beach, via registration and reception facilities, to departure by boat or plane to mainland Greece. The purpose of the Receptionist position is to assist in the day to day implementation of support functions in the NRC infocenter

Job description

• Adhere to NRC policies, tools, handbooks and guidelines
• Assist with the implementation of support function portfolio according to plan of action
• Prepare and develop status reports as required by management
• Ensure proper filing of documents
• Promote and share ideas for improvement of the support functions
• Reception duties at the infocenter, including welcoming visitors and providing information about opening hours and services offered inside the centre
• Keep track of visitors by ensuring they sign the visitor registry when they enter/exit the centre
• Monitor that service providers abide by the schedule agreed upon with the CM TL – Drop-in Centre
• Upon request of the CM TL – infocenter, ensure that visitors fill out data collection tools (e.g. satisfaction survey questionnaire, etc.) before accessing the centre
• Collect reports from visitors and infocenter staff about needs for maintenance and repairs of the centre’s facilities and equipment and ensure the required follow-up with NRC support departments in order to ensure issues are timely addressed
• With guidance from the CM TL – infocenter, carry out data entry when required
• Collect, compile and organize project documentation and ensure proper filing

Qualifications

• Experience from working as a Support Assistant in a humanitarian/recovery context
• Previous experience from working in complex and volatile contexts
• Documented results related to the position’s responsibilities
• Fluency in Arabic and/or Farsi (oral)
• Fluency in Greek, both written and verbal
• Post-secondary education in business and administration, hospitality studies, social science or related field
• Good knowledge of MS Office
