Under the overall authority of the Director of the Division for Heritage and the direct supervision of the Chief of the Emergency Preparedness and Response Unit, the incumbent will support the organization and delivery of Programme activities and projects of the Unit. Within this context, s/he will\:

  • Ensure the management of correspondence and publications of the Unit\: review, proofread and edit outgoing correspondence according to standard practices and protocol ensuring proper grammar, spelling and punctuation.
  • Search, locate, compile, review and update information and data used in the development of documents, work plans and budgets; provide administrative support for fund raising initiatives.
  • Prepare a variety of administrative documentation; initiate administrative procedures and ensure follow-up, including payment follow-up, in collaboration with the Finance and Administrative Unit (AO) and the Executive Office (EO); deal with administrative processes and related procedures to support work planning and timely and coordinated execution of work; perform general administrative tasks.
  • Organize official meetings/events/workshops and official travels; provide administrative and logistical support including travel arrangements, track and prepare itineraries and agendas; facilitate travel by preparing the necessary documentation and clarifying information; provide administrative support for the events.
  • Maintain files and databases for work unit and assist in providing software and office equipment support.

EDUCATION

  • Completed secondary, technical and/or vocational education.

WORK EXPERIENCE

  • At least three years of relevant experience in secretarial and/or administrative support tasks at national and international levels, of which at least one year acquired within the UN system or another international organization.

SKILLS/COMPETENCIES

  • Good knowledge of administrative and office support activities and processes.
  • Good interpersonal and communication skills, including the ability to draft correspondence and correct documents in English and/or French.
  • Good organizational and coordination skills.
  • Ability to work as part of a team, to take initiatives and provide quality and timely support and services.
  • Discretion, loyalty and diplomacy.
  • Ability to work in an international and multicultural environment.
  • Flexibility to adjust to work schedules and priorities and to work effectively under pressure.
  • Good IT skills, including MS Office (Word, Excel, PowerPoint, Outlook, etc.).

LANGUAGES

  • Excellent knowledge of English or French and good knowledge of the other language. 

EDUCATION

  • Secretarial and/or administrative training/certificate.

SKILLS/COMPETENCIES

  • Knowledge of UNESCO’s financial, administrative and informatics tools (SAP, DUO, and SISTER).
  • Knowledge of UNESCO’s policy and practices, rules and regulations.

LANGUAGES

  • Excellent knowledge of the second language, French or English.
  • Knowledge of another official language of UNESCO (Arabic, Chinese, Spanish, Russian).
