Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants. Context:

IOM’s dynamic communications team is dedicated to improving the visibility of the organization in the media and improving the perception of migrants among the global public. Under the direct supervision of the Administrative Assistant of Media & Communications and in close collaboration with Media & Communications Department (MCD) colleagues in Geneva, Manila, Washington, Bangkok and in the field, the successful candidate will contribute to the formulation and implementation of creative communication strategies to promote IOM and raise awareness of migration in the media and among the general public.

SUPERVISION

The Intern will work under the guidance and supervision of the Administrative Assistant and in cooperation with other colleagues in the Field Missions and IOM Headquarters. Core Functions / Responsibilities:

Under the overall direction of the Head of MCD and direct supervision of the MCD

Administrative Assistant, the Intern will have the following duties and responsibilities: 1. Make travel arrangements for Media and Communications (MCD) staff. 2. Process travel expense claims of MCD staff.

3. Assist in monitoring MCD projects to ensure timely delivery and payments. 4. Process administrative documents for procurement (Purchase Requisition Form, BID Analysis, Payment Request, Vendor Form).

5. Help in the organization of various International Days and Global Migration Film Festival. 6. Perform such other duties as may be assigned.

Required Qualifications and Experience:

• University degree in Business Administration, Commercial Studies or a related field. Experience

• Computer literacy especially database tools;

• Proven strong organizational skills;

• Proven ability to timely understand the Organization’s structure and portfolios; • Proven ability to work effectively and harmoniously in a team of colleagues of varied cultural and professional backgrounds;

• Proven ability to produce quality work accurately and concisely to meet set deadlines; •Proven ability to multi-task, prioritize and work independently.

Languages

Fluency in English is required. Working knowledge of French is an advantage. Desirable Competencies:

Personal Development

The incumbent will acquire technical knowledge in the Media & Communications Department (MCD) Unit.

He/She will also gain in-site experience in working with an international organization. Carte de Legitimation
