Under the close supervision and guidance of the of the Deputy Director, you will support the Policy, Strategy and Networks (PSN) section through providing procedural, administrative and operational support. You will play an integral part in developing, implementing, executing and monitoring their office programme and ensuring timely and effective delivery that is consistent with UNICEF policies and practices.

The Policy, Strategy and Networks (PSN) section is located within the Division of Data, Research and Policy (DRP). The Administrative Assistant supports the Deputy Director of PSN and the operational functions of the section’s four units: Sustainability, Policy and Advocacy (SPA); Corporate Strategy and Analysis (CSA); Learning and Knowledge Exchange (LKE) and Civil Society Partnerships (CSP).

How can you make a difference?
Under the close supervision and guidance of the of the Deputy Director, you will support the Policy, Strategy and Networks (PSN) section through providing procedural, administrative and operational support. You will play an integral part in developing, implementing, executing and monitoring their office programme and ensuring timely and effective delivery that is consistent with UNICEF policies and practices.   

In this capacity, your role as a credible and reliable service provider is imperative to the quality of process delivery, and the impact of work directly reflects on the overall reputation of the team in response to client needs and execution.

This involves:

  1. Supporting the information management and internal and external communications to and from the Deputy Director’s Office.
  2. Reviewing incoming correspondence and attaches necessary background information prioritizing those requiring urgent attention of the Deputy Director.
  3. Organizes and maintains a system of filing of correspondence and documentation for PSN Section.
  4. Maintains office services and efficiency by planning and implementing office systems ensuring the smooth functioning of the section.
  5. Manages the Deputy Director’s calendar, arranging meetings and conference calls as needed.
  6. Makes travel arrangements for the Deputy Director.
  7. Assists with preparation of contract paperwork for staff, consultants, interns and volunteers as required by the Section, ensuring that all required background documentation is in order.
  8. Provides administration, financial and budget monitoring support to the Policy Strategy and Analysis section.
  9. Monitors the annual performance appraisal process for the section and provides relevant information to the supervisor.
  10. Acts as attendance focal point for the Section entering requests in Vision liaising with DHR.
  11. Performs other duties given by the supervisor, within the core competencies of the post.   

To qualify as a champion for every child, you will have…

  • Completion of secondary education. Must have passed UN ASAT.
  • At least five years of relevant work experience, preferably with three years of these closely related to support of UNICEF programme activities.  Proven excellent customer orientation, interpersonal skills and initiative taking are an asset.
  • Advanced knowledge in the Microsoft Suite of Products (including MS Word, MS Excel & MS PowerPoint) is required.
  • Fluency in English (verbal and written) is required.
