Job description

  • Adherence to NRC policies, guidance and procedures
  • Under direction of Head of Programme conduct internal coordination of central and/or common processes of the Programme Unit, including preparation and minute-taking of internal unit meeting, dissemination of minutes
  • Maintain working list of action points and RACI matrix for Programme Unit
  • Draft, disseminate and receive internal communications from the Head of Programme and Programme Unit
  • Coordinate inputs for internal trimester reporting and Fact Sheet preparation
  • Deliver induction and orientation sessions on behalf of Programme Unit, particularly on NRC Afghanistan Country Strategy, Core Competency Strategy Annexes, and Advocacy Talking Points
  • Conduct preparation and release of NRC Afghanistan Annual Report
  • Facilitate administrative processes for Programme Unit, including management of external representation matrix, annual leave tracker, timesheets, flight booking requests, translation/interpretation and printing requests, and planning for internal seminars and external events
  • Maintain filing and archiving of non-grant Programme Unit activities, e.g. internal meeting minutes, donor meeting minutes, cluster meeting minutes, donor formal and informal feedback, field mission reports, workshop or seminar reports etc.
  • Participate remotely in Area Management Team meetings, ensuring that adequate communications and information sharing between area-based management and the programme unit
  • Support Head of Programme in managing internal and external correspondence, appointments, and scheduling
  • Maintain a donor relations calendar and logbook, to enhance non-grants-related communications with key stakeholders

Qualifications

  • At least three years’ experience in an international NGO or UN agency, working in programme teams
  • Bachelors in relevant field
  • High level English language proficiency (speaking, reading, writing)
  • Office software skills
  • Strong communication, interpersonal, and organizational skills
