Organizational Setting
The Department of Management (MT) provides a âplatform of servicesâ that serves as a foundation for the successful delivery of the IAEAâs scientific and technical programmes. Its mission statement is as follows\: âMT is a partner and a business enabler that champions change and efficiency, leveraging a common purposeâ. Thus, among other support activities, it assists a scientific manager in recruiting the right expert, helps a technical officer coordinate the purchase of radiation equipment and ensures that all Board documents are translated and distributed on a timely basis to Member States.
The Department of Managementâs Division of General Services (MTGS) provides service functions to the IAEA through its five Sections that ensure facilities management for its headquarters and for the Seibersdorf laboratories campus, travel, transport and general support services, archives and records management, and the operation of the Vienna International Centre Commissary.The Facilities Management Section provides technical advice and has overall responsibility for the implementation of major facilities management specific projects and administrative services for all IAEA premises. This includes providing technical services for IAEA meetings and conferences in the Vienna International Centre (VIC) and the Austria Center Vienna, including set-up and operation of worldwide video conferences and video job interviews for the IAEA.
Main Purpose
Reporting to the Buildings Services Assistant, the Buildings Maintenance Assistant (Operations) is responsible for handling requests for moving of staff and equipment, office furniture and supplies and building maintenance services. This includes office space planning, furnishing and decorating, cleaning services and property management.
Functions / Key Results Expected

Undertake the overall works connected with office allocation and office moves.

Manage the distribution and moving of furniture, and requests (from IAEA staff) for repairs and installation of fixtures in the IAEA offices, and update and maintain necessary inventory records.

Prepare and submit requests for services to BMS, coordinate necessary actions with BMS and maintain records of the requests and their status.

Provide logistics assistance to Conference Services (MTCD) and to the Secretariat of the IAEA Policy-Making Organs (SEC-PMO) in regards to organization of conferences and meetings in the VIC, particularly in regards to the IAEA General Conference (GC). This includes re-arranging conference and meeting rooms, organising the transport of documents and equipment from IAEA main buildings to and from the venues of IAEA conferences.

Assist IAEA organisers of exhibitions in the physical setup of exhibits.

As a member of the team, identify and analyse the space requirements by IAEA Divisions, and verify the space use compliance with the IAEA Office Space Standard policy.

Collect and submit requests concerning the provision, installation, movement and repair of telephone sets to BMS for implementation and to IT Help Desk to have those changes reflected on OASIS.

Qualifications, Experience and Language skills

Completed secondary education.

Minimum of four years of relevant working experience.

Good oral and written command of English. Knowledge of other official IAEA languages (Arabic, Chinese, English, French, Russian and Spanish) is an asset.

English grammar test (Level 2) and typing test (Level 2) to IAEA standard.
Remuneration
The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at EUR 37917 (subject to mandatory deductions for pension contributions and health insurance), 6 weeks' annual vacation, pension plan and health insurance
Appointment is subject to a satisfactory medical report. Recruitment will be on a LOCAL BASIS only. Outside applicants are required to supply to the IAEA or to authorize it to seek all information relevant to their suitability for employment by the IAEA. Testing may be part of the recruitment process.
