To achieve this goal, UNOPS has established the Infrastructure and Project Management Group (IPMG).

Within UNOPS, IPMG’s objectives are to serve the organization’s personnel and partners by broadening their infrastructure and project management capabilities, while disseminating best-practices in both of these areas. Through this work, the group helps facilitate the successful delivery of programmes and projects around the world.

Background Information - Job-specific

Under the overall guidance and supervision of IPMG Support Services Specialist, the successful candidate will be responsible for supporting a variety of tasks and work packages as a part of her/his internship period. We are seeking qualified applicants who may have a background in communication, HR, budget/finance, audit, and/or business administration; and who are extremely client/service-oriented as well as structured, organized and detail-oriented The main support areas will be in communication, Human Resources and Budget monitoring, but not limited to these areas.

At the end of this internship, the successful candidate will have gained:

-       Exposure to UNOPS project management and infrastructure corporate standards and activities;

-       Experience in the Support Services area, which is a core function within UNOPS (ultimately leading to Head of Support Services career path);

-       Experience in one of the operational areas: HR, communication, budget/finance, administration, which may be further developed by specializing in one of them;

-       Exposure to international personnel;

-       Exposure to headquarter strategy.

The internship is expected to start in December 1 for a duration of 6 months.

Functional Responsibilities

Overall support of a variety of tasks and work packages in the area of budget monitoring, communication, HR and administration, in alignment with the IPMG annual work plan.

Budget/Finance Support:

  • Support in generating and reviewing expenditure reports from UNOPS financial system and reviewing IPMG expenditures and financial transactions; support in providing analysis of the IPMG expenditures
  • Support in processing and following up on payments, using accurate General Ledger Accounts (GLA) and accounting information.
  • Support in ensuring compliance with all policies, guidelines and instructions set out by the practice and organization
  • Assist in reviewing finance/budget data and supporting documentation for completeness, accuracy, and correctness of account entries
  • Contribute to other Finance tasks as required

Communication, Reporting & Tools Support:

  • Demonstrating willingness and ability to learn all online tools managed by IPMG, provide guidance and assistance as required to IPMG personnel
  • Support the development of IPMG workspace on the intranet with new case studies, client profiles, UNOPS best practices, to be shared with the organization
  • Help draft and edit articles, presentations, emails and other communication on infrastructure and project management practices and tools
  • Contribute to maintenance and updating of the intranet site and willingness to continually improve required technical skills under the guidance of IPMG Communication focal point
  • Assist with monitoring and reporting of IPMG performance
  • Contribute to other communication tasks as required:

Human Resources Support:

  • Carry out logistics arrangement for interview, including but not limited to preparation of documents for interview, room booking for any HR related functions
  • Assist in conducting outreach activities to attract suitable candidates
  • Maintain incoming and outgoing correspondence from the recruitment email account
  • Contribute to other HR tasks as required

Knowledge Management & Workshop/training Support:

  • Maintenance, update and support of all relevant guidance and documentation
  • Support to internal document management systems and ensure compliance with established standards and procedures
  • Support all training and workshop initiatives within the practice as required, this includes but not limited to training set up, administrative support and logistics
  • Contribute to other KM and Workshop/training support tasks as required

Education/Experience/Language requirements

Education

  • Completion of secondary school or equivalent is required.
  • To be eligible for this particular internship with UNOPS, the candidate must be studying towards a university degree in Business Administration, Communication, Finance, Human Resources, Audit or other relevant discipline, or have graduated with a relevant university degree in the past three years.

Language Skills

  • Fluency in English is required.
  • Knowledge of French and/or Spanish would be considered an asset.

Internship-related experiences

  • While no prior work experience is required, some experience in finance/budgeting and/or communication and/or human resources, ideally within the development sector or private sector, is highly desirable.

Additional requirements

  • Strong technical skills and experience working with digital tools and software, such as advanced skills in Microsoft Office, content management systems and design software, is highly desirable.
  • PRINCE2 Foundation certificate would be desirable.

This internship is not designed to lead to a staff position with UNOPS. Therefore, there should be no expectation of employment at the end of the internship.

Interns may be eligible for a monthly stipend of 900 USD per month from UNOPS provided that they do not receive funds from other institutions. Further, UNOPS may provide a one time travel lumpsum of 500 USD. However, they must make their own arrangements for accommodation, travel, insurance coverage and any necessary visas.
