Who are we? 
 
Danish Refugee Council is a leading protection agency pursuing our mandate to protect and promote durable solutions to displacement-affected populations on the basis of humanitarian principles and human rights. In the Middle East and North Africa (MENA), DRC apply a regional approach with operational presence in Libya, Tunisia, Algeria, Jordan, Lebanon, Syria, Turkey and Iraq. 
Present in Iraq since 2003, DRC is today operational in the Kurdish governorates, in and around Baghdad and in several South-Central governorates. Focused both on the influx of Syrian refugees and the current IDP crisis, DRC is providing assistance in a range of sectors including Camp Coordination and Camp Management, Protection, Livelihoods, Emergency Response (including food security, cash, and NFIs), WASH, Shelter and Mine Action. The Iraq programme presently employs some 600 national staff and 60 international staff, and is growing to meet new, emerging needs associated with ongoing and recent conflict in multiple locations. 
 
About the job 
Human Resources Administrative Assistant, in coordination and cooperation with other HR support units, and supervised by the Senior HR Coordinator is responsible for providing assistance in various administrative, clerical and HR tasks. 
 
Duties and Responsibilities 
 
Human Resources: 
• Ensure proper documentation and filing of the interview forms and related documents 
• Request mobile, laptop and email address for new expat staff 
• Ensure filing of expat personal files and other documents both in soft copy and hard copy. 
• Ensure that expat timesheets are submitted on time and properly filed 
• Update Timesheet tracker and FU on missing time sheets. Coordinate with HRO Exp. 
• Assist entry of National Staff employee records to payroll database 
• Support HR Admin Officer in managing the monthly payroll for all National Staff. 
• Other duties and assgined by the Senior HR coordinator, Senior HR Officer and HR Admin Officer 
• Send monthly Expat Timesheet and Tax allocation and follow up on tracker update from HRA Assistant. 
• Send out monthly reminder to Line Managers on Expat Probation and Evaluation 
 
Administration 
• Ensure filing of expat recruitment documents both in soft copy and hard copy. 
• Prepare and print ID cards  
• Provide support in obtaining visa and residency cards for expats as needed 
• Support in booking conference room, accommodation/room allocation and travel arrangements for trainings and meetings for staff/visitors. 
• Support in updating the attendance lists for trainings and meeting 
• Update Guest House tracker 
• Ensure Iraq contact list is collected from all the field and put together/updated and send it to HR Admin Officer 
• Assist in scanning and filing of HR/Admin documents 
• Ensure proper follow-up for all needs in office supplies for coordination office/Ensure the stationary storage in Coordination office is replenished  
• Point of contact for domestic staff and maintenance in GH and Office 
 
The above list of job duties is not exhaustive and it may be required to undertake tasks as may reasonably be expected within the scope and grading of the post. 
 
About you 
 
To be successful in this role you must have: 
 
Experience and technical competencies:  
• Minimum of one year experience in a HR Admin position, experience in the NGO sector is an asset 
• Good knowledge of visa and residency procedures 
• Strong organizational skills and ability to prioritize large and changeable workload 
• Good communication skills and ability to work as part of a team 
• Able to work independently and energetically  
• Good computer skills (especially MS Word and Excel) 
 
Education:  
• Relevant university degree or similar education 
 
Languages:  
• Fluency in English 
• Fluency in Kurdish and Arabic

We offer 
DRC will offer the successful applicant a 12 months contract subject to extension based on performance and funding. You must be available to start work ASAP 2017.Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for Nationals. This position will be placed at B2 DRC’s salary scale.
