Purpose of the Position

UNICEF Viet Nam is seeking Programme Assistants to support in the areas of Education, Child Protection, Child Survival and Development, Social Policy and Governance, Communication, Programme Monitoring and Evaluation, and others on a temporary appointment basis. These opportunities are ideal for early career programme/project management professionals that wish to gain international exposure to a progressive UN environment.

Under the close supervision and guidance of the supervisor, the Programme Assistant supports the respective section through providing a range of administrative and operational support in developing, implementing, executing and monitoring their country programme, ensuring timely and effective delivery that is consistent with UNICEF rules and regulations.

How can you make a difference?

Depending on the need of the organization, the Programme Assistant provides various support to the section in operational assistance, programmatic and financial support, promoting knowledge management, and providing administrative and secretariat support to ensure smooth operation of the office in any of the areas that UNICEF works. 

Key expected results:

Organizational/Programme/Knowledge management:

  1. Support information and knowledge management by researching, compiling, and preparing documents, spreadsheets, database files, graphs and charts for internal and external dissemination
  2. Plans and conduct account maintenance and budget control by providing reports to the Governments on financial status, procedures, costs, and expenditures, and potential funding problems.
  3. Carry out transactions in VISION ensuring programme results, activities, and programme coding are as per annual work plans (AWPs) and make amendments and alternations when necessary
  4. Administer and liaise with other sections and relevant government counterparts on all aspects of the financial management of the programme.

Communication:

  1. Record and document Information and discussion; provide translation and interpretation to support communication with internal and external partners.
  2. Formulate draft replies to routine correspondence for approval/signature and respond to routine requests for information.

 Administrative/operational/financial:

  1. Gather and share information as needed in support of improving the processes and daily operations of the section.
  2. Monitor budgets and financial expenditures of the section, ensure compliances with UNICEF policies, keep supervisor informed and advise on actions for decision/follow up.
  3. Organize meetings and events, manage team calendars, and provide support in logistical arrangements, such as travel, conference room booking, and etc.
  4. Provide general administrative support to the team and act as focal point for computer, supplies, and/or travel plan.
  5. Any other duties as requested by the supervisor

Education: Completion of Secondary School Education, preferably supplemented by technical or university courses in a field related to the work of the organization. 

Experience: A minimum of six years of work experience in clerical and programme administration, operation or budget/accounting work.

Language Requirements: Fluency in both English and Vietnamese is required.
