Local fundraising operation in Colombia has proved to grow year by year. Last year the total income was COP 14.065.152.701 million pesos representing a 32% more than 2015

For 2017 the total income projected is COP 20.750.000.000 million pesos.

Fundraising operation with an increased annual expenses budget over US$1.8 million dollars (by 2017), most of it implemented through a network of specialized implementing partners: Face to Face Agencies, Call Centers, Mobile Aggregators, On-line Marketing Agencies, Design Agencies, Fulfillment and Courier, Tax Deductible Receipts, Special Events, etc.

Constantly growing investment funds budget with more than USD 3.2 million dollars for this reason PSFR area need manage properly and timely the execution, reports, and finance assessment.

For all these reasons it is necessary reinforce the structure and mitigating the risks that big operations present every day.

How can you make a difference?

Under the direct supervision of the Fundraising Manger and in close collaboration with the different functional areas of de private sector fundraising (PSFR) team, this post undertakes administrative and finance support services to the PSFR area. The incumbent assists in ensuring efficient and efficient cost effective administrative and finance support services, providing guidance to PFP technical assignment.

Summary of key functions/accountabilities:

 

  1. Budget preparation and implementation are properly administrated in the area of administrative and finance management.
  2. PSFR income and expenditures are timely and properly registered and management.
  3. Monitoring and recording PSFR finance information in PFP special tools, Cognos, Investment funds portal and reported in an ad-hoc format for further specialized analysis made by the PFP Finance & Business Analysts.
  4. Monitoring and reporting the execution and Investment Funds reports.
  5. Any other assigned administrative support and task required is effectively and timely delivered.

The work performed by this post ensure the properly management of PSFR budget which includes income, expenditure, cost charging, investment funds providing guidance to the PSFR technical administrative and finance support.

Gathering, recordings and reporting income and expenditure transactions to the PFP Finance & Business Analysts for further analysis adapted to fundraising needs.

Provide practical input on implementation of administrative and PSFR finance guidance in close coordination with operations staff.

Contribute to the recommendations on the improvements on the internal controls systems taking into the account the administrative rules, regulations, policies and regulations. 

Assist Fundraising Manager in preparing estimates on office section expenses for budget preparation purposes.

Monitors payments against contractual obligations.

Ensures that all income and expenses transactions for PSFR funds i.e. cost sharing and investment funds are properly managed and accurately registered in administrative and internal systems in compliance with the applicable policies, procedures, rules and regulations. 

Establish a properly Risk Assessment tool to monitoring the impact of the PSFR income over the year.

Assist other functional areas within PSFR in administrative and finances matters.

The work performed by Administrative and Finance Assistant will positively impact in terms of the efficient implementation and monitoring the income, expenses and budgeting process as well as a key focal point to ensure the active compliance with administrative and internal systems in compliance with the applicable policies, procedures, rules and regulations.

  • Completion of Secondary education. Technical and/or University levels in administration, finance or any other discipline relevant to the job is an asset.



  • A minimum of 6 years of relevant professional experience in administration, finance, accounting, supply or any relevant function.


  • Developing country work experience and/or familiarity with emergency is considered an asset.

  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
