Purpose of the Position

Under the supervision of the Transport Officer, the Administrative/Transport Assistant ensure the management of the UNICEF fleet and supervise all the drivers based in N’Djamena.                                                         

Key Expected Results

The efficiency and effectiveness of the support provided by the Administrative/Transport Assistant to the management of the UNICEF fleet and supervise all the drivers, will facilitate the capacity of UNICEF in delivery the programme helping the most vulnerable women and children.

Key Accountabilities and Duties & Tasks

 

Summary of key functions/accountabilities:

  1. Supervise the pool of drivers of the office
  2. Provide support to Transport Officer for Maintenance of vehicles
  3. Provide support in obtaining and renewing vehicles administrative documents
  4. Provide support to Transport Officer for monitoring the fuel consumption
  5. Provide support in obtaining and renewing administrative documents for staff and consultant

 

  1. Supervise the pool of drivers of the office
  • Organize daily errands (mail dispatching, office meeting, staff departure / arrival, etc.)
  • Ensure the planning of the drivers missions;
  • Ensure every driver is on duty and report the absence to the supervisor;
  • Monitor the Daily Log mileage and ensure the book is up-to-date;
  • Ensure the safety of vehicles and check the list for MOSS compliance;
  • Monitor the logbooks for fuel consumption and report any inconsistencies to the supervisor

 2. Provide support to Transport Officer for Maintenance of vehicles

  • Ensure on a daily basis that vehicles are in good condition and clean;
  • Ensure the planning of reparation and maintenance of vehicles and report to the supervisor;
  • Monitor of reparation and vehicle maintenance of vehicles and the related invoices;
  • Provide data to the supervisor for the monthly report of vehicle reparation and maintenance.

3. Provide support in obtaining and renewing vehicles administrative documents

  • Draft verbal notes for obtaining vehicles administrative documents;
  • Ensure the timely renewal of administrative document including insurance ;
  • Ensure all the administrative document are systematically filed and kept in the vehicle.

 4.  Provide support to Transport Officer for management of fuel stock.

  • Provide data to the supervisor for fuel consumption of vehicles and generators;
  • Acknowledge receipt of the delivery

5. Provide support in obtaining and renewing administrative documents for staff and consultants

  • Draft the verbal note for obtaining visas entry and stay visa  ;

Ensure all the administrative document are systematically filed in a secured place.

Qualifications of Successful Candidate

Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization.

 A minimum of 5 years of administrative or logistic work experience is required. At least 2 years of experience in management of fleet, an experience in account is an asset. 

Fluency in French is required; a knowledge of English and local Arabic would be an asset.
