The Norwegian Refugee Council (NRC) is a non-governmental, humanitarian organization with 60 years of experience in helping to create a safer and more dignified life for refugees and internally displaced people. NRC advocates for the rights of displaced populations and offers assistance within the shelter, education, emergency food security, legal assistance, and water,sanitation and hygiene sectors.

The Norwegian Refugee Council has approximately 5000 committed and competent employees involved in projects across four continents. In addition, NRC runs one of the world’s largest standby rosters -NORCAP, with 650 professionals, ready to be deployed on 72 hours notice when a crisis occurs

The Norwegian Refugee Council (NRC) has been present in Somalia since early 2004 and has since expanded its programme. Since 2004, the Norwegian Refugee Council (NRC) has demonstrated a regional competence and expertise in working with displaced populations. The Regional Office is based in Nairobi, Kenya with offices and operations in Somalia (Puntland, Somaliland and South & Central), Kenya, Ethiopia Yemen, Djibouti and South Sudan.

The purpose of the assistant position is to assist in the day to day implementation of the support functions responsibilities

Job description

Adhere to NRC policies, tools, handbooks and guidelines
Assist with the implementation of the support function portfolio according to plan of action
Ensure that the telephone bills, electricity and water bills are paid on time Requisition, receive, record, distribute and maintain adequate inventory of office and guesthouse supplies and consumables
Receive visitors and direct them accordingly
Prepare and develop status reports as required by management
Ensure proper filing of documents
Promote and share ideas for improvement of the support function
Maintain an appropriate filing, retrieval and archiving system for the Office administration section
Arrange for conferences and workshops
Arrange for staff and visitor’s visas, flight bookings, transport and accommodations
Receive and reconcile all flight and accommodation invoices
Ensure that the telephone bills, electricity and water bills are paid on time
Requisition, receive, record, distribute and maintain adequate inventory of office and guesthouse supplies and consumables
Booking ECHO and UNHAS flights
Assign, supervise and appraise the work of Cleaners and Cooks

Qualifications

Diploma in Business Administration or any related training.
Good oral and written communication skills
