Background

Resources of priority and innovation interventions are mobilized from a gradually diversification group of partners, including donors, NGOs, private sector and local communities

In Pakistan, UNDP started in February 1960 as United Nations Special Fund to promote social progress and better standards of life and advance the economic, social and technical development of Pakistan. 

Since then UNDP has supported the successive national and provincial governments in Pakistan in formulation of national strategies and policies, capacity building of institutions, community mobilization, early recovery from disasters and internal displacement, reduction of poverty, gender mainstreaming, environmental management, climate change management, restoration and preservation of natural habitats, income generation policies and empowerment of legislatures and parliament.

To this effect, UNDP requires the services of a Fleet Supervisor, who, under the guidance and direct supervision of the Operations Specialist will be responsible for the following functions:

Duties and Responsibilities

Summary of Key Functions:

Supervision of drivers in CO and DIM projects

  • Ensure MOSS compliance of all vehicles. 
  • Manage Cost recovery 
  • Assistance to provide monthly report about efficiency of vehicles and drivers
  • Timely maintenance and repairing of all vehicles. 
  • Reporting of Vehicle tracking system to Senior Management
  • Provide feedback regarding performance of all drivers
  • Management and implementation of Fleet sharing between UNDP, UNFPA and UNICEF Assist in disposal/surrender of vehicles as per MoFA regulations and POPP.
  • Leave Management.        

1. Supervision of drivers in CO and DIM projects and Provide feedback regarding performance of all drivers.         

  • Ensure effective supervision of all drivers across Islamabad, Peshawar, Quetta, Karachi and Lahore.
  • Provision of inputs to the CO administrative business processes mapping and implementation of the internal standard operating procedures (SOPs).
  • Management of contract extensions and feedback on performance of all drivers. 
  • Leave Management of all drivers.             

2. MOSS compliance of all vehicles.

  • Ensure MoSS compliance of all vehicles. 
  • Conducting spot checks with coordination of security unit in order to ensure MOSS compliance of vehicles.  

3. Manage Cost recovery

  • Calculation and charging of cost recovery to Agencies and Projects. 
  • Calculation and revision of LPL in order to make Motorpool self-sustaining.    

4. Assistance to provide monthly report about efficiency of vehicles and drivers and Reporting of Vehicle tracking system to Senior Management.    

  • Reporting on effective utilization of vehicles and incidents to senior management. 
  • Use of tracking systems to ensure supervision of vehicles across the country.          

5. Timely maintenance and repairing of all vehicles              

  • Ensure timely maintenance of all vehicles
  • Ensure issuance and approval of work orders for maintenance of vehicles.    

6. Management and implementation of Fleet sharing between UNDP, UNFPA and UNICEF            

  • Ensure swift management and implementation of fleet sharing between UNDP, UNFPA and UNICEF.
  • Cost recovery of services provided to UNFPA and UNICEF.  

7. Assist in disposal/surrender of vehicles as per MoFA regulations and POPP             

  • Provide assistance to Protocol Officer to ensure swift disposal and surrender of returning vehicles as per MoFA regulations and POPP.          

8. Requesting of goods and services          

  • Creation of requisition in Atlas for request of goods and services.

MANAGING DATA 

  • Collects and compiles data with speed and accuracy identifying what is relevant and discarding what is not, records it in an accessible manner and maintains data bases
  • Thoroughly and methodically collects, verifies and records data demonstrating attention to detail and identifying and correcting errors on own initiative
  • Transmits file data; creates and generate queries, reports and documents utilizing databases, spreadsheets, communications and other software packages with speed and accuracy
  • Interprets data, draws conclusions and/or identifies patterns which support the work of others

MANAGING DOCUMENTS, CORRESPONDENCE AND REPORTS

  • Creates, edits and presents information (queries, reports, documents)  in visually pleasing, clear and presentable formats  such as tables, forms, presentations, briefing notes/books and reports using advanced word processing and presentation functions and basic database and spreadsheet softwares
  • Ability to produce accurate and well documented records conforming to the required standard           

PLANNING, ORGANIZING AND MULTI-TASKING

  • Organises and accurately completes multiple tasks by establishing priorities while taking into consideration special assignments, frequent interruptions, deadlines, available resources and multiple reporting relationships
  • Plans, coordinates and organises workload while remaining aware of changing priorities and competing deadlines
  • Demonstrates ability to quickly shift from one task to another to meet multiple support needs
  • Establishes, builds and maintains effective working relationships with staff and clients to facilitate the provision of support           

Promoting learning and knowledge management/sharing is the responsibility of each staff member.      

Required Skills and Experience

Education:

  • Minimum Secondary Education.
  • Valid Driver’s license.  

Experience:

  • 5 years’ work experience as a driver;
  • Safe driving record;
  • Knowledge of driving rules and regulations and skills in minor vehicle repair.
  • Adequate knowledge and experience of administrative and record keeping.
  • Knowledge of staff planning and job tasking.
  • Knowledge of all Microsoft Windows programs; (Word, Excel, Outlook).
  • Experience, confidence and ability to work with senior International managers and clients.

Language Requirements:

Fluency in Urdu required. Knowledge of English required.
