Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified Logistics Officer to help expand its program in Iran.

The Danish Refugee Council (DRC) is a humanitarian, non-governmental, non-profit organization founded in 1956 that works in more than 35 countries throughout the world. DRC fulfills its mandate by providing direct assistance to conflict-affected populations, including refugees, internally displaced people and host communities. Under its mandate, the organization focuses on emergency humanitarian response, rehabilitation and post-conflict recovery. DRC aims at protecting refugees and internally displaced persons (IDPs) against persecution and to promote durable solutions to the problems of forced migration, on the basis of humanitarian principles and human rights.  
 
The Danish Refugee Council (DRC) has been operational in Iran since the spring of 2012. DRC Iran forms part of the regional DRC response to the Afghan displacement axis in Central Asia and South West Asia (CASWA), covering Afghanistan, Iran and Pakistan. 
 
About the job 
Overall responsibility is to undertake and monitor logistical activities associated with DRC operations in Iran. Including the delegated day-to-day supervision of Logistics Assistants, to ensure that all logistics tasks are dealt with in accordance with DRC organizational standards and policies, this include weekly, monthly activity reports to his/her immediate line manager.

Roles & Responsibilities:

Specific objectives include, but are not limited to:

  • Ensuring DRC is compliant with all local laws and regulations with regard to logistics and supply chain management (Warehousing, Inventory, Fleet / Transport Management, Building Admin & Maintenance).
Warehousing
  • Ensure accurate and updated files and records are maintained in support of the requirements of country management, head office and donors.
  • Support the implementation of robust Warehousing systems and ensure all stock is correctly checked, recorded, stored and issued as per DRC regulations.
  • Timely reports of warehouse stock balance to Programme Managers, Finance Team and Donors as and when required.
  • Liaising with suppliers and transport sub-contractors to ensure goods are delivered in full, on time, to the correct location and are safely stored with the correct documentation
Inventory
  • Maintaining and updating records of all inventory lists (databases) and correct tagging and tracking of all Assets.
  • Responsible for physical inspection and location verification of all DRC assets to be completed on a regular basis.
  • Prepare all damage/ lost report for assets/ inventories and insure ensure items issued to staff are returned at the end of their contract.
  • Ensure asset registers include individual Donor requirements to facilitate correct disposal of assets during project liquidation
Fleet / Transport Management and Admin
  • Ensure all departments have adequate timely transport /dispatch plans through regular and constructive communication with Safety, Programme and Admin staff.
  • Develop and maintain robust systems for the management and payment of service providers for the movement of staff and supplies between locations in Iran, complete with the appropriate documentation (inc. day-hire vehicles for programme visits, airport pick-up/drop-off, couriers, flight bookings, etc.)
  • Ensure all vehicles used by DRC (owned, rented or hired) are well maintained, safe and roadworthy and that drivers are reliable and competent.
  • Develop and maintain system to record efficient servicing and maintenance of all vehicles according to DRC Fleet Management guidelines.
  • Ensure that an organized filing system is in place, which should include vehicle log books, records of work done, vehicle and service provider performance records.
Building Admin & Maintenance
  • Organise building repair works and maintenance tasks (internal and external) for guesthouse, office and other DRC owned or rented properties to the required standard (inc. installation and payment of utilities, provision of equipment, etc.)
  • Facilitate the process of renting, housing and moving of DRC staff, including maintaining good working relationships with landlords and contractors.
  • Ensure correct function and maintenance of all DRC equipment such as generators, UPS’s, Internet Routers, Satellite Dishes, and Kitchen Equipment etc.
Other Duties
  • If requested, to carry out visits to the field sites to monitor systems, support and ensure that correct DRC procedures are applied across Iran and field offices are set up and functioning efficiently.
  • Liaise with other NGOs, UN agency, and local authorities when required to do so.
  • Provide weekly work plans and monthly reports to Procurement and Logistic Coordinator and actively participate in the weekly/ monthly coordination and departmental meetings.
  • Adhere fully to the DRC Code of Conduct.
  • Assist in the managing and developing of staff working in the logistics team and technically support them.
  • Ensure good internal communication and information flow with relevant departments and DRC colleagues.
  • Carry out other duties as assigned by the Procurement and Logistics Coordinator.

Required  Experience and education: 
  • Minimum of 2 years of experience of working in a similar position.
  • Ability to write weekly activity reports and circulate communication pieces.
  • Excellent communication skills (reading, writing, speaking).
  • Spoken and written English and Farsi is essential
  • Be fully familiar with Iranian Law regarding Imports, Taxation and Tendering.
  • Microsoft Office and typing skills
  • Excellent organisational skills, ability to plan, coordinate, determine priorities and attention to detail a must.
  • Ability to work in a multicultural context as a flexible and respectful team player.
  • Willingness to work in the field and travel when needed.
  • Strong networking, interpersonal and presentation skills.
  • A team player who goes about their work with enthusiasm, a willingness to learn, help others and display outstanding integrity.
  • Proactive in identifying and addressing issues
  • Patience and a sense of humor.
  • Commitment to and understanding of DRC's aims, values and principles

Education:

Logistics & Supply Chain Degree or relevant university degree or similar education level.
 

Languages:

  • English – Fluent, written and spoken
  • Farsi – Fluent, written and spoken

Contract length: subject to a successful 3 months probationary contract, the contract would be extended
