Administration Assistant – Kirkuk

We are looking for a qualified administrative assistant who will be working with our support services team in DDG Kirkuk office.  
 
 
Who are we?  
Danish Refugee Council is a leading protection agency pursuing our mandate to protect and promote durable solutions to displacement-affected populations on the basis of humanitarian principles and human rights. In the Middle East and North Africa (MENA), DRC apply a regional approach with operational presence in Libya, Tunisia, Algeria, Jordan, Lebanon, Syria, Turkey and Iraq.  
Present in Iraq since 2003, DRC is today operational in the Kurdish governorates, in and around Baghdad and in several South-Central governorates. Focused both on the influx of Syrian refugees and the current IDP crisis, DRC is providing assistance in a range of sectors including Camp Coordination and Camp Management, Protection, Livelihoods, Emergency Response (including food security, cash, and NFIs), WASH, Shelter and Mine Action. The Iraq programme presently employs some 450 national staff and 45 international staff, and is growing to meet new, emerging needs associated with ongoing and recent conflict in multiple locations.  
The Danish Demining Group (DDG) is a Humanitarian Mine Action and Armed Violence Reduction Unit within the Danish Refugee Council (DRC), operating in many of the most fragile and conflict-affected places in the world. Our mission is to "create a safe environment where people can live free from armed violence and remnants of conflict". We believe that a range of fundamental rights depends on the establishment of safety and security for communities in fragile contexts. 
 
About the job 
The Administration Assistant is responsible for providing administrative support in all areas to DDG Kirkuk Office. 
The successful candidate will be highly organized, self-motivated and have the ability to maintain level-headedness and resilience when facing operational challenges. 
 
 
Reporting lines 
  • Reports to: Support Services Manager 
 
 
ROLE AND RESPONSIBILITIES 
  • Manage office cleaners and guards including rotation design and workload. 
  • Ensure the office is equipped with essential items, stationery/drinking water/kitchen and office supplies. 
  • Manage contracts for utilities – water/gas/electricity/internet/fuel and renew when necessary.
  • Manage contracts for DDG Office and DDG Guesthouse.
  • Ensure staff receive monthly phone credit in a timely fashion.
  • Perform maintenance checks of the properties and ensure a good quality of maintenance is carried out where necessary. 
  • Provide support in procuring items as requested.
  • Be a point of contact of Mosul Office for DDG/DRC staff members and external companies/individuals
  • Assist with recruitment of staff when necessary. 
  • Provide regular updates to Erbil office on local situation/events that may affect operations/  
 
About you 
QUALIFICATIONS AND EXPERIENCE 
  • A qualification or experience with standard procurement procedures and documentation.
  • Experience in administration and/or utility management.
  • Fluency in spoken and written Kurdish, Arabic and English. 
  • Excellent IT skills
  • Understanding and commitment to DDG/DRC aims and values.  
DESIRABLE 
  • Experience in site project management.
  • Ability to speak other International languages
  • Full driving license
  • Other relevant qualifications or training courses. 
 
 
Languages:  
  • Fluency in spoken and written Kurdish, Arabic and English.

We offer 
DRC will offer the successful applicant a contract until 01-May-2018, renewable dependent on both funding and performance. You must be available to start work from 3-December-2017.
