How can you make a difference?

You will support the Health Section (Polio Eradication) team, in the Programme Division with a range of administrative and operational day-to-day work, ensuring compliance to established procedures and timely and effective delivery of tasks that contributes to the overall goals of the Section which in turn enhances UNICEF's capacity in achieving results for children.


Some key tasks are as follows:


Efficient and effective communication workflow

  • Maintain and update office records and reference files relevant to the work of team members. Retrieve required information in required formats ensuring accuracy of data for use in preparing reports, correspondence, technical papers, projects and/or programme plans and general reference documents.


Contract Management

  • Assist in basic research and drafting of presentations and statements to be made by the Deputy lead at meetings as well as day-to-day correspondences and memos and follow up on action points.
  • You will be managing the inbox and calendar for the Deputy lead, undertake all administrative tasks including facilitating correspondence with external/internal parties; handle routine correspondence and mailings to the field, file documents.


Travel Management

  • Support travel arrangements of staff and consultants including arranging information pertaining to the purpose of travel, making reservations, processing travel entitlements/claims, processing visa requests, medical & security clearances, hotel reservations and related tasks.


Office administration

  • You will be focal person for administrative and personnel issues for the team, in liaison with Programme Support Unit, process all invoices for staff members, consultants, vendors and institutional contracts
  • Assist in the preparation of individual and institutional contracts, internship arrangements, TA and Fixed Term paperwork as required ensuring that the Terms of Reference, and other required background documentation are in order, including using correct budget codes and ensuring availability of funding.
  • Provide assistance in preparation of interviews for recruitment, and liaise with PSU to ensure supporting documentation is in order.
  • Ensure individuals new to the office have access to office space, computers, telephone and a UN ID card to access UNICEF offices.


Support in management of unit’s work plan and budget

  • Assist Deputy to format and monitor Annual Work Plans, flag any deviations from agreed plans, monitor financial commitments and expenditures against the budget within Cross-Sectoral Areas such as travel, contracts, and meeting expenditures.

 
To qualify as a Champion for every Child you will have…

  • Completion of secondary education is required.
  • A minimum of 5 (five) years of relevant experience in providing progressively responsible administrative support services is required.
  • Working knowledge of UNICEF systems, policies and procedures is considered an asset.
  • Strong writing, interpersonal and communications skills. 
  • Passing the GGST Exam (Global General Service Test) or UN ASAT in English is required.
  • Non-US candidates must be in possession of a US G4 visa or be a US permanent resident/citizen.
  • Fluency in English is required.  Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
