Purpose:
Under the supervision of the Operations Manager, the incumbent will be responsible for the proper execution of all duties related to the functions of the administrative and programme support services for the office in compliance with applicable policies and procedures including:
 
Key Expected Results:
 
• Follow up on bookings of UN flights to/from Libya, security clearance, revision of TRIPs and settlement related invoices;
• Supervise drivers and responsible of transportation of UNICEF Libya (Based in Tunis) in addition to settlement of invoices related to       transportation;
• Follow up on the maintenance of office equipment/premises, and utilities of UNICEF LCO premises (based in Tunis) in addition to settlement all related invoices;
• Ensure that services and maintenance of premises are in accordance with organizational standards;
• Monitor and supervise adequate and appropriate use of office stationary and supplies;
•  Responsible for collecting invoices and filing documents for approval and, thereafter processing in vision.
• Follow up with the hosting country (UNICEF Tunis Country Office) on the VAT exemption;
• Follow up on the visa process and issuance with the hosting country (UNICEF Tunis Country Office);
• Support the physical inventory of office assets and reconcile with the master record in Tripoli office,
• Responsible of Petty Cash;
 
Qualifications of Successful Candidate:
 
Education and Work Experience:
 
• Completion of secondary school education preferably supplemented with diploma or training in Business Administration and/or Accounting or finance;
• Five years of progressively responsible Administrative work, of which at least two year is closely related to financial or administrative support activities;
• Good oral and written Arabic and English are required;
• Good knowledge of computer applications like word processing and spreadsheets;
• Demonstrated ability to work in a multi-cultural environment and establish harmonious and effective working relationships, both within and outside the organization.
