Background Information - Job-specific

The UNOPS Hub in Amman implements projects on behalf of UN agencies and bilateral donors and in close coordination with the Government and national authorities. With an established presence across the region, the office runs operations including large-scale procurement, project development and technical management, and provides financial, human resources and infrastructure-related services. The functional objective of UNOPS Hub in Amman is to deliver its projects in an efficient and effective manner and in line with the principles, rules and regulations of UNOPS, so as to achieve the outcomes sought by the clients.

The incumbent is responsible to abide by security policies, administrative instructions, plans and procedures of the UN Security Management System and that of UNOPS.

Functional Responsibilities

  • Under the guidance of Project Manager, prepare a detailed work plan (Delivery Plan) reflecting on planned delivery dates and ensuring minimal overlapping deliveries.
  • Revised: Support the project team in undertaking proper assessment of existing condition of school/ health facilities and the relevant equipment; prepare short report on findings and support it with photos.
  • Oversee the delivery of procured items and/ or equipment at project sites.
  • Revised: Monitor the quality and quantity of delivered items and/ or equipment in all project sites in Jordan.
  • Issue Receipt and Acceptance (RIR) reports, get the necessary signatures from the end users and submit it to the Project Manager
  • Prepare logistical reports, RIR and identify the item for returns; coordinate with the supplier(s) for necessary replacement
  • In agreement with the PM, undertake follow up visits to project sites to ensure the quality of delivered items/ equipment and report on any issues to the PM for necessary rectification
  • Develop and maintain a database for all project locations/ sites and update it on a regular basis.
  • Inform the PM of any issues that may require specific actions and/ or decision making in a timely manner.
  • Revised: Liaise with the project team on relevant logistical matters to ensure timely implementation of the delivery plan.
  • Under the guidance of the PM and in coordination with the Head of Support Services/ Procurement Unit, arrange customs clearance of imported supplies, materials and equipment, as applicable.
  • Perform any other functions requested by the PM

Education

A first level of university degree or Secondary School with additional of 4 years of relevant experience.

Experience

  • At least four years of progressive responsible experience in similar positions is required.
  • Previous  experience of working in international organizations is an asset
  • Experience in usage of computers and office software packages (MS Word, Excel, etc.), advance knowledge of automated procurement systems, experience in handling of web based management systems is highly desirable.
  • Previuos logistics experience is required
  • Fluency in both English and Arabic (written and verbal).
