PCI’s Humanitarian Assistance and Resilience Unit (HARU) and Food, Nutrition, and Livelihoods Security (FNLS) technical teams collaborate closely to design and implement a range of humanitarian assistance, resilience and food security programs in areas that are highly vulnerable to a broad range of shocks and stresses. The Program Assistant will contribute to this collaboration by supporting PCI’s HARU and FNLS teams in the areas of administrative and logistical support, coordination, report review and editing, and proposal development. S/he will manage these tasks and balance them against changing Field Office and International Office (IO) needs and priorities.

Key Duties and Responsibilities:**

Administrative and Logistical Support

  • Organize and participate in team meetings, facilitate sharing of information between programs to ensure technical integration and complementarity, taking minutes as needed.
  • Help foster an environment of innovation through active participation in new initiatives.
  • Coordinate writing of monthly unit updates and humanitarian emergency alerts, and publish final, clean versions for all-staff.
  • Assist with the development of consultant contracts & payments in accordance with the PCI Procurement Manual.
  • Manage PCI’s Atlas SharePoint FNLS, HARU and TSST sites by updating information/documents, participating in Atlas meetings, and educating and troubleshooting as the Atlas FNLS, HARU and TSST Captain.
  • Provide support to the Office Coordinator working together as needed to accomplish task such as check requests, staff & consultant travel and expense reports.
  • Act as the FNLS, HARU and TSST Concur Travel & Expense Champion (travel/expense report troubleshooting, arranging travel for non-concur users, etc.).
  • Other duties as assigned.

Program Assistance

  • Serve as point of contact between HARU and the field offices, and other IO departments.
  • Facilitate regular communication between program, field offices and key internal staff.
  • Coordinate overseas support as requested for ongoing programs, startup of new programs, operations research and other special projects.
  • Oversee HARU’s task management system and participate in regular meetings to monitor the unit’s progress against the strategic plan.
  • Supervise interns and facilitate technical, capacity-building and logistical support for intern projects.
  • Contribute to the coordination and development of program-related materials including training materials, presentation materials, and capacity statements.
  • Attend relevant events to enhance PCI program development and track state-of–the-art technical best practices.
  • Provide coordination support in the event of emergencies.
  • Support other activities in DC when necessary i.e., proposals, events.

As Needed and Appropriate - Technical Support

  • Support the implementation of PCI’s HARU and FNLS programs as needed.
  • Support the engagement of technical specialists in emergency responses in both rural and urban contexts, urban upgrading, climate change and resilience, and food security programming
  • Supporting effective collaboration between field teams dedicated to PCI’s core issues as needed.
  • Support effective knowledge management within PCI’s humanitarian assistance, resilience, and food security programs by helping PCI technical specialists document best practices / lessons learned.
  • Collaborate with marketing, communications and development to develop and share HARU’s program accomplishments and identify promising partnerships.

Proposals and Reports

  • Coordinate review processes and serve as first reviewer/editor on assigned donor reports.
  • Assist with the preparation of proposals including literature searches, formatting, and editing.
  • Assist with dissemination activities related to increasing PCI’s visibility in technical areas.
  • Collaborate with printers/publishers on the publication and distribution of materials, both internal and external to PCI.

Position Parameters/Special Responsibilities Required:

  • May require overtime during peak periods.
  • May require local travel.

Required Qualifications:

  • Bachelor’s degree or technical training and at least one year of professional experience.
  • Ability to work under pressure, and maintain a positive attitude and sense of humor.
  • Strong research, writing, and editing skills.
  • Experience in humanitarian assistance, disaster mitigation, food security, nutrition, and/or livelihoods preferred
  • Excellent organizational skills and detail-oriented, including ability to prioritize and manage multiple tasks
  • Ability to take initiative, solve problems, anticipate actions, and to use creative means to complete tasks
  • A passion for the mission and values of PCI
  • Ability to work as an integral part of a team, taking guidance and input from a variety of staff
  • Ability to self-manage tasks and prioritization amongst competing responsibilities
  • Computer skills including word processing (Microsoft Word), spreadsheets (Excel), presentations (PowerPoint), graphics, Skype and go-to-meeting, SharePoint and OneDrive.
  • Fluency in English required.
  • Strong Spanish skills are highly preferable.
