Administrative Assistant I The International Potato Center (CIP) is seeking two bilingual and dynamic Administrative Assistants with high levelof commitment and excellent organizational skills to provide administrative support to the organization.

The Center: CIP is a not-for-profit international agricultural research-for-development organization with a focus on potato, sweet potato, and Andean roots and tubers. It vision is of roots and tubers improving the lives of the poor. CIP is dedicated to achieving food security, improved well-being, and gender equity for poor people in root and tuber farming and food systems of the developing world. CIP works with partnersto contribute high quality science, technology,and capacity strengthening for sustainable science-based solutions. CIP is headquartered in Lima, Peru, with staff and activities in over 30 locations across Asia, Africa, and Latin America. CIP is a member of the CGIAR Consortium. Itsscience iscarriedoutby the 15 researchcenters who aremembersof theCGIAR Consortium in collaboration with hundredsof partner organizations.

The position: The objective of the position is to assist and support the office a wide range of administrativeandgeneralsupportdutiesofahighlyresponsibleandconfidentialnaturetoguarantee smooth flow and effectiveness of the office; also manage the front desk on daily basis operating the telephone exchange system and receiving visitors.

Duties and Accountabilities:

Administrative support

• Receive and screen telephone calls, letters, e-mails and/or visitors for the office to prioritize members’ attention and provide a professional impression.

• Receive and assist visitors or public to guarantee their answers, requests and inquiries are being acknowledge.

• Keep updated and organized administrative papers to maintain the office database system accurate.

• Coordinate and schedule the events calendar of office’s members to maintain informed about staff activities.

• Oversee and keep track of office’s budget and overall expenses to guarantee that all charges matched and coordinate with finance when needed.

• Coordinateandmanagesupplychainandresourcerequirementstomaintainanadequatelevelof office supplies and good functioning of equipment

• Coordinate national and international trips and provide assistance to the office’s members to ensure all the arrangements (travel and lodging) and travel matters are being followed correctly. • Retrieving and integrating data to guarantee the information is complete and unified. • Planning and schedule meetings and appointments to contribute with the projects matters.

• Comply with national and international health and safety laws, regulations and standards.Selection Criteria: • Technical degree in secretarial administration.

• At least one year of experience in a similar position.

• Excellent skills in handling office technology and software applications.

• Outstanding writing and reporting skills.

• Ability to organize department activities and processes.

• Punctuality and organizational skills.

• Advanced written and oral communication skills in English.
